Job Description
ADMINISTRATIVE COORDINATOR WILL OVERSEE THE DEVELOPMENT AND USE OF DATA SYSTEMS, DESIGN EFFICIENT WAYS TO ORGANIZE, STORE AND ANALYZE DATA WITH ATTENTION TO SECURITY AND CONFIDENTIALITY. THE ADMINISTRATIVE COORDINATOR WILL ENSURE THAT INFORMATION FLOWS TIMELY AND SECURELY TO AND FROM THE ORGANIZATION AS WELL AS WITHIN. THE ADMINISTRATIVE COORDINATOR WILL ENSURE THAT OUTREACH/ADVOCATE WORKERS ARE IN LINE WITH THE STATED GOALS OF TRP. ADMINISTRATIVE COORDINATOR WILL ASSIST IN PROVIDING QUALITY CONTROL FOR EACH GRANT PROGRAM THEY OVERSEE THROUGH METHODS SUCH AS HANDLING THE BUDGETS, STAFF, ACTIVITIES, AND INTENDED FINAL PRODUCTS.
RESPONSIBILITIES WILL INCLUDE:
CREATE AND ENFORCE POLICIES FOR EFFECTIVE DATA MANAGEMENT
FORMULATE TECHNIQUES FOR QUALITY DATA COLLECTION TO ENSURE ADEQUACY, ACCURACY AND LEGITIMACY OF DATA
DESIGN AND IMPLEMENT EFFICIENT AND SECURE PROCEDURES FOR DATA HANDLING AND ANALYSIS WITH ATTENTION TO ALL TECHNICAL ASPECTS
ESTABLISH RULES AND PROCEDURES FOR DATA SHARING WITH UPPER MANAGEMENT, EXTERNAL STAKEHOLDERS ETC.
SUPPORT OUTREACH WORKERS AND MANAGEMENT STAFF IN THE DAILY USE OF DATA SYSTEMS AND ENSURE ADHERENCE TO LEGAL AND COMPANY STANDARDS
ASSIST WITH REPORTS AND DATA EXTRACTION WHEN NEEDED
MONITOR AND ANALYZE INFORMATION AND DATA SYSTEMS AND EVALUATE THEIR PERFORMANCE TO DISCOVER WAYS OF ENHANCING THEM (NEW TECHNOLOGIES, UPGRADES ETC.)
ENSURE DIGITAL DATABASES AND ARCHIVES ARE PROTECTED FROM SECURITY BREACHES AND DATA LOSSES
TROUBLESHOOT DATA-RELATED PROBLEMS AND AUTHORIZE MAINTENANCE OR MODIFICATIONS
DRAFT QUARTERLY REPORTS IN COLLABORATION WITH ORGANIZATIONAL DIRECTORS TO GRANTOR AGENCIES
CONVENE WEEKLY AND MONTHLY MEETING WITH TRP OUTREACH/ADVOCATE WORKERS
CREATE MONTHLY WORK PLANS THAT DIRECT TRP WORKERS TO SPECIFIC HOT SPOTS IN THE SOUTH WARD/WEST WARD MODEL NEIGHBORHOOD GRID
COLLECT AND REVIEW MONTHLY REPORTS FROM OUTREACH WORKERS, ENSURING OUTREACH WORKERS ARE MEETING PROGRAMMATIC AND CASE MANAGEMENT GOALS AND OBJECTIVES
REVIEW REPORTS FOR OUTCOMES AND INSURE THAT APPROPRIATE INFORMATION IS INPUT INTO DATABASE AND COMPLETE REPORT.
DEVELOP, MAINTAIN AND IMPROVE RELATIONSHIPS WITH TRP OUTREACH/ADVOCATE WORKERS AND COMMUNITY FOR THE SUCCESS OF THE PROJECT.
DEVELOP AND MAINTAIN RELATIONS WITH TRP MEMBERS, CLIENTS AND CITY AS REQUIRED ESTABLISHING CORRECT INTERFACES AND PRESENTING PROFESSIONAL IMAGES
EVALUATE PROJECT AND RECOMMEND WAYS AND OPPORTUNITIES TO IMPROVE PERFORMANCE GOING FORWARD.
ATTEND BI-MONTHLY ADMINISTRATIVE MEETING WITH ORGANIZATIONAL DIRECTORS
