    Reporting directly to the CAO/CFO, the Executive Assistant provides executive level administrative and operational support for one Faculty member while exercising confidence, discretion and good judgement with respect to priorities and confidential and/or time-sensitive matters.

    We are looking for a proven administrative professional with a passion for building and managing relationships.  The Executive Assistant, Laboratory role sits on the edge between science and administrator and is a key support and liaison that enables Faculty to reach their goals and our Institute mission.

    Our ideal candidate will be a self-starter who is comfortable working independently.  Individuals who have a propensity to learn and ask questions are highly desired, as there are opportunities to enhance systems and processes toward greater efficiency.  In addition, we are looking for someone who takes pride in their approach and understands the connection between their role and departmental and organizational goals.

    PRIMARY RESPONSIBILITIES

    • Provide high level administrative support, including heavy calendar, meeting planning and travel management
    • Performs activities that support daily office/lab operations, including screening visitors and phone calls, maintenance of records and files and managing laboratory mail
    • Regularly corresponds with external and internal collaborators, including SBP Faculty and administrative departments. Acts as initial point of contact, responding to questions and providing information pertaining to procedures.  
    • Consults and performs functions associated with manuscripts/publications.
    • Provides support with lab personnel actions with guidance from Human Resources
    • Processes and maintains statements and expense reports, monitors billing and payment of core services, facilitates reimbursements to faculty and lab members
    • Provides support for activities related to intellectual property
    • Performs other duties as assigned

    Required Skills Required Experience

    • High school diploma and five years of administrative experience or equivalent education, training and/or experience from which comparable knowledge, skills and abilities have been attained
    • Bachelor’s degree preferred
    • Previous experience in an academic or scientific research environment preferred

    • Ability to learn and achieve proficiency with internal systems
    • Professional proficiency in Microsoft Office and Adobe Acrobat
