POSITION_:_ Assistant Operations Manager
REPORTS TO_:_ Operations Manager
PRINCIPAL PURPOSE OF POSITION
To support the Operations Manager in maintaining a sufficient supply of staffing employees to fill all orders that are developed through sales efforts, to properly fill such orders, and to assist in the development of the sales of the staffing service.
The responsibilities and duties, as set forth above, cover all of the functions of the office. Many of these are delegated to an assistant or an Operations Specialist as the staff grows. Whether the individual duties are shared or split depends on the individuals involved. It gives the office greater flexibility if most of the duties can be shared.
Regardless of whether duties are split or shared, the Operations Manager and the Assistant Operations manager are responsible to ensure that all duties listed here are fully and properly performed.
15% ADMINISTRATIVE
- Screen, test, interview and provide orientation to qualified applicants.
- Constantly recruit and maintain a sufficient supply of employees to fill the jobs of the office.
- Follow guidelines established by the company in salary administration and pricing of our business to achieve the desired gross margin.
- Maintain reporting of the operation’s activity on a weekly basis and provide this information to the Branch Manager.
- Maintain current, inactive and “dead” files of applicants and staffing employees.
- Maintain a record of employees’ birthdays and send cards to these workers.
- Handle the necessary paperwork (where applicable) in the separation of employees.
- Be aware of all federal and state laws concerning discrimination, wage administration, immigration, etc., as required by company policy.
- Promptly process the payroll of the staffing employees as required by company policy.
- Assist in the maintenance of sales records of clients so appropriate steps can be taken to further increase business.
- Conduct, by company policy, E-Verify and a background check on every candidate employed by TRC. Maintain proper documentation.
- Check web responses daily and send appropriate response.
- Maintain detailed information inside candidate records in Bond.
- Complete maintenance packet and mandatory checklist on each applicant and send to the Payroll department in the weekly courier.
5% BUSINESS DEVELOPMENT/SALES
· Initiate and follow-up with telephone sales calls on prospective or current clients.
· Make personal calls on all key accounts to become familiar with the clients’ businesses and types of workers.
- Utilize applicant’s job history as a source of leads. Obtain information on order placer, what skill levels, quantity of employees, pay rates, etc. Pass leads to sales representative.
10% CLIENT LOYALTY
Personally ensure that TRC’s most strategically important clients are very satisfied with TRC.
Ensure we operate with our clients at high levels of performance. Grow and maintain deep and wide relationships with our clients.
Ensure there are quality measures in place for each specific client to strengthen our relationship.
5% PROFITABLE/COST CONTROL
- Manage/teach the organization to be a “profit-oriented” organization.
- Keep an eye on expenses.
- Annual profit performance to budget.
- Effectively manage sale of safe/profitable business.
- Pricing is at top of the market.
5% EMPLOYEE DEVELOPMENT
· Aid in the development and growth of other operations personnel.
· Ensure there are highly talented, motivated, empowered and trained people running the business.
5% LEADERSHIP/MANAGEMENT
- Coordinate recognition activities and written communications on a regular basis to build team spirit among employees.
- Manage Recruiting Coordinator.
- Be in daily contact with the Territory Manager and or Branch Manager so that each will be aware of the other’s activities and exchange information on particular clients so a team effort is involved in both selling and servicing.
5% IMPACT
- Think ‘IMPACT.’ Constantly promote our client-specific program designed to replace fixed, permanent people costs with a flexible contract solution. Encourage and lead our clients and prospects to enhance productivity and significantly reduce employment costs.
- Work with all clients and prospects to promote TRC as an integrated partner responsible for sourcing, selecting, hiring and managing a portion of our client’s workforce.
10% QUALITY
· Strive to increase the rapport between TRC and all its clients.
- Ensure TRC’s policies and procedures are maintained and quality control programs are implemented and followed by all personnel in the office.
- Conduct oneself and maintain the office in a manner that sets an example for all staffing employees to maintain the best image of TRC.
- Inspire the organization to achieve at high levels aligned around common vision/goals. Model, mentor the organization to “see the big picture,” take pride in TRC and uphold the principles the organization stands for.
- Maintain valid work verifications on all placements in your branch.
- Ensure the Employees Really Count Program is being followed on a regular basis.
- Properly orient all qualified applicants and maintain rapport with the employees to ensure quality service to clients.
- Correspond with clients to furnish information, express gratitude for business or regrets for inability to fill an order, or for a job done unsatisfactorily.
30% SERVICE DELIVERY
- Handle client orders courteously and efficiently and fill them with the best-qualified employee.
- Familiarize oneself with the geography of the city (market area), know the locations of clients, how they may be reached, their parking facilities, start/stop times, safety and security policies, dress and grooming codes and job descriptions.
- Be familiar with the particular desires of each staffing employee as to preferred locations, hours, types of business, etc.
- Create, as necessary, recruiting source list, resume file, ABC client reports, etc. that will help generate orders and applicants.
- Be responsible for following the branch recruiting plan, as well as the branch recruiting team’s efforts and results. This includes tracking the results of the recruiting methods.
- Assist the Operations Manager with writing and submitting advertising as directed for the purpose of recruiting for open jobs. Follow internet job posting templates and print advertising branding guidelines set by the Marketing department.
- Properly supervise the activities of the staffing employees to help retain those who perform, and take corrective or dismissal measures on those who do not perform.
- Have a thorough understanding of the recruiter activity report for presentation on weekly basis with Operations Manager, Branch Manager and Vice President.
- Be aware of competitors’ activities in the market, including rates, and take necessary steps to ensure that TRC is superior in the market.
- Be aware of the various uses of staffing employees and assist in the development of new ideas and applications of the service.
10% RESPONSE TO MANAGER
- Keep TRC and its management informed of all developments in the particular market concerning competition, recruiting staffing employees, new business openings, and all other information that is pertinent to the branch and TRC's growth.
- Perform other related duties deemed necessary by the Branch Manager.
- Make adjustments as necessary on jobs that have not been performed satisfactorily.
