    TRI POINTE HOMES INLAND EMPIRE LOOKING FOR AN EXPERIENCED, ENTHUSIASTIC INDIVIDUAL TO JOIN OUR TALENTED GROUP AS A SALES & CLOSING COORDINATOR.

     

     

    POSITION HIGHLIGHTS: Responsible for all aspects of the sales contract processing, start preparation and coordination of the escrow closing. 

     

    POSITION RESPONSIBILITIES:

    • Coordinate closing process with internal departments: sales, accounting, purchasing, construction and lender. Work with outside lender if applicable and title company.
    • Confirm accuracy and timeliness of documentation, including but not limited to purchase agreements, deposits and payments.
    • Maintain electronic files by scanning and saving documents by community and homesite.
    • Update CRM system with sales, lender and options status.
    • Audit all closed homesite files.
    • Format sales documents for use with CRM system.
    • Assist with preparation of sales and phase release reports.
    • Weekly reporting: review Sales & Traffic Report, Escrow Flow Sheet and New Home Delivery Schedule.  Review terms of each sale; confirm sales price, incentives, homebuyer and lender information and closing date are correct.  Adjust estimated closing dates for unsold homesites.
    • Weekly sales conference calls: meet with community teams to discuss new sales, open escrows, and other immediate requests.
    • Operations meetings – provide updated Escrow Flow Sheet and New Home Delivery Schedule with the week’s activity. Provide updates on all closings.
    • Outside Brokers – check BRE status online before processing Broker Co-op payment/instructions.
    • Documentation – review and provide input to legal and Project Management for BRE compliance prior to finalization of Purchase & Sale Agreement for new communities. Obtain Universal Design Checklist and Insulation Values from Purchasing.
    • Purchase Agreements (new sales) – review for accuracy and legal/lender compliance, have seller sign, copy and email to title. Enter all terms in database.
    • Closing Statements – review and approve all estimated closing statements, amendments and lender documentation for closings. Ensure incentives are allocated correctly. Review and approve any lender required documentation.
    • Sales Price Breakdown – complete form showing final allocation of incentives, design center payment, broker co-op payment and any special instructions to title.
    • Final Audit – review homesite files and obtain any missing items prior to actual close.
    • Pre-plots – check design center finalization forms. Ensure homesite file is documented with back up on all pricing so there is no confusion as to what the home price includes.
    • Escrow – provide tax prorations, lender payoff, warranty payment instructions, and wiring instructions for disbursement. Monitor and obtain Grant Deeds and Notice of Completions for signature and notarization for closings.  Request final addendum from sales and audit pricing.  When loan approval is received (or an okay to release from preferred lender) release flooring to construction. Communicate with construction to ensure closing date is acceptable and prepare New Home Orientation form for sales to have signed by buyer to confirm their walk-through date.
    • VA/BIA Affirmative Marketing Program – register each community in the appropriate BIA VAMA program by submitting the correct worksheets and check. Maintain file with letters of approval for each community.
    • Customer Care Homesite Database – provide sales & marketing checklist items needed prior to grand opening for information generated and given to homebuyers.
    • Provide support to Sales & Marketing team as needed.
    • New Community Openings:
      • Coordinate receipt of the Pink, Yellow and White reports for New Home Advisors.
      • Coordinate and provide to sales prior to community openings: Articles of Incorporation, Budget, By-laws, CC&R’s, Design Guidelines, Community Disclosure, Warranty Information, Natural Hazard and Tax Disclosures, Homesite Exhibits, Phase Map, closing dates, option cut-off dates, virtual tour sheets.
    • Develops and maintains excellent working relationships with customers and trade partners.
    • Exercise initiative in organizing and completing assigned tasks according to established guidelines, safety standards and procedures, deadlines and department parameters.
    • Solves problems by using judgment based on knowledge of existing products and tracts, homeowner schedules, management policies and department practices and procedures.
    • Expected to meet established productivity and task management standards or seek assistance.
    • Communicate with construction to ensure closing date is acceptable and prepare New Home Orientation form for sales to have signed by buyer to confirm their walk-through date.

    POSITION QUALIFICATIONS:

    • High school graduate or equivalent; college degree preferred.
    • A minimum of 3 years’ experience in a professional, office environment.
    • Experience in the home building industry is preferred.
    • Computer competency – Proficient in MS Office (Word & Excel, Outlook, PowerPoint), and other general computer applications. Experience with E-One, SalesForce, or Envision preferred.
    • Strong organizational skills, attention to detail, particularly with numbers and financial data.
    • Excellent written and verbal communication skills.
    • Ability to work collaboratively with team members and members of other departments.
    • Ability to multi-task and be self-directed, staying focused and on task in a fast-paced environment.
