    SUMMARY OF POSITION

    The Administrative Assistant is responsible for providing premier customer service as the initial contact at Rolled Metal Products, Inc. and coordinating the flow of paperwork within the organization. (RMP)

    RESPONSIBILITIES AND DUTIES

    As a minimum, the following is a basic description of typical duties and responsibilities expected of the Administrative Assistant. These duties are not exhaustive and are subject to change as the needs of the organization require. 

    • Promptly answer incoming calls and direct them to the appropriate party.
    • Courteously greet walk-in customers and guests and connect them with the appropriate department or specified party within the organization.
    • Distribute incoming mail and process outgoing mail, including UPS and FedEx packages containing documents only.
    • Properly and efficiently organize, maintain and file company documents.
    • Verify costs and weights on customer sales orders and update data as needed before closing sales order and/or line items in computer system.
    • Process customer invoices and scrap orders by entering data into computer system and distribute to customers by mail or email.
    • Obtain credit references for all new customers and verify credit status with Corporate Office prior to releasing orders for shipment.
    • Gather required information and manager’s approval for setting up all new vendor accounts.
    • Process all purchase orders by entering data into computer system.
    • Verify costs on all vendor invoices, assign general ledger accounts, and batch for mailing to the Corporate Office.
    • Process vendor debits as needed.
    • Maintain office supplies for all departments within the organization.
    • Compile Flash, Daily Bookings and E&O data reports to management as scheduled.
    • Adhere to all RMP’s handbook policies, procedures and business codes of ethics.
    • Complete material receiving process in business system.
    • Complete monthly safety observations.
    • Maintain company's quality system.

    • Must have good computer skills including Microsoft Office suite.
    • Must be able to effectively communicate using e-mail.
    • Knowledge working in a business system environment helpful.
