** Talent Acquisition Coordinator**
** Bedford, MA (hybrid, 2x per week on site or more as needed)**
** Duration: 3 year contract**
** Pay Range: $30-40/hr**
As a Talent Acquisition Coordinator, you will be at the heart of our recruiting efforts for both internal and external talent, ensuring a seamless and positive experience for candidates, hiring teams, and HR staff.
Responsibilities will include:
Candidate & Hiring Team Support:
Coordinate interviews and assist in scheduling, ensuring a smooth and professional experience for all parties.
Provide general policy and employment information to candidates and employees.
Assist with pre- and post-employment transactions including onboarding documentation.
Contingent Workforce Support:
Timesheet reminders – reaching out to appropriate parties in regards to timely timesheet submissions and/or approvals
Assist Business Partners with job posting entry in Fieldglass as needed
Assist BPs and groups with interview scheduling and coordination as needed
Assist with reminders for contingent worker contract extensions
Aggregate responses from feedback surveys and share responses with appropriate parties
Data entry into Fieldglass and SAP as needed
Assign trainings to the user community and maintain training lists
Schedule quarterly business reviews, spotlight calls, and other critical meetings
Support contract management duties and communication with suppliers (for renewals, etc.), check for insurance requirements, file in appropriate repository
Outreach to suppliers annually to verify benefits packages. Review/analyze information to ensure equitable and if any changes have been made, question the suppliers, and bring any anomalies or issues to management
Organize electronic storage (community page, SharePoint, teams); Review and update all documents manually; move to other areas as needed, retire documents as needed, etc.
Consistent and proactive management of the inbox. Create methodology for best way to respond to and keep track of emails
Act as a cross functional liaison, communicating between the community, the internal team, HR, the suppliers, etc.
Reach out to suppliers as needed for updated insurance binders. Review for compliance.
Administrative & HR Support:
Support HRBP and Talent Acquisition team administratively, inclusive of processing of all employee actions, beginning with hiring and onboarding through the off boarding process.
Support additional HR and recruiting initiatives as needed.
Take notes in all meetings, distribute as required
Create innovative solutions to help support team, promote efficiency, streamline processes
Anticipate needs of the team, including management, and recommend solutions to keep team members on track
Qualifications
** What We’re Looking For:**
Organized & Detail-Oriented: You have excellent administrative skills, strong attention to detail, and the ability to manage multiple priorities.
Tech-Savvy: Experience using applicant tracking systems (ATS) and proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint).
Strong Communicator: You have great interpersonal and written communication skills, making interactions with candidates and hiring teams seamless.
Proactive in your day to day work; go above and beyond, anticipating needs of the program and leadership and recommending updated processes and procedures
HR Knowledge & Experience: A high school diploma (or equivalent) and at least 3 years of experience in an administrative role.
Preferred Qualifications:
Previous experience supporting recruitment activities within a Human Resources department and/or experience providing recruiting support in an agency setting.
Familiarity with automated resume tracking systems (Successfactors) and HR software as well as vendor management systems (Fieldglass)
Understanding of contingent labor and how it augments a company’s workforce

-Position is 2 days/wk onsite with flexibility to come onsite more if needed (periodically)
