    Job Description

    We are seeking a skilled Talent Acquisition Operations specialist to join our dynamic team at USPh. You will play a critical role in supporting and optimizing talent acquisition processes, systems, and reporting. This role focuses on driving efficiency, maintaining data integrity, managing the applicant tracking system (ATS) SmartRecruiters, and enabling the recruiting team through analytics, training, and process improvements.

    What You’ll Do:

    Reporting & Analytics:

    • Build, run and maintain recurring recruiting dashboards and ad hoc recruitment reports and presentations.
    • Analyze hiring metrics such as, time-to-fill, pipeline conversion, source effectiveness.
    • Provide insights and recommendations to improve recruiting performance.
    • Ensure data accuracy and integrity within the ATS and across systems.
    • Manage and report on candidate experience survey results and metrics.

    Systems & ATS Management:

    • Administer and manage the ATS (SmartRecruiters). Stay up to date on system updates, new features, and releases as well as issue resolution.
    • Configure new acquisitions, offer letter language and templates, approval workflows, and user settings in the system.
    • Ensure job boards and external systems are correctly pulling job postings and branding from the ATS.
    • Oversee data requirements for integrations between ATS and applicable HR system of record and any 3rd party systems

    Training & Enablement

    • Create, update, and manage training materials and documentation as needed.
    • Conduct training sessions for recruiters, hiring managers, and operations and serve as the subject matter expert for recruiting tools and processes.
    • Influence consistent adoption of best practices across all stakeholders.

    Efficiency and Process Improvement

    • Identify and implement process improvements to increase recruiter efficiency and hiring velocity.
    • Leverage AI technologies to enhance recruiter and process efficiencies as candidate volume and quality.
    • Drive project management for key TA initiatives.
  • Qualifications

    Qualifications

    Who You Are/What You Have:

    • Bachelor’s degree and at least three years of experience in recruiting or people operations/analytics in a high growth and volume company.
    • Hands on experience managing an ATS, strong preference for SmartRecruiters.
    • Strong expertise in recruiting analytics, reporting, and dashboard creation and management.
    • Excellent project management skills, able to juggle multiple initiatives simultaneously with a strong sense of urgency.
    • Highly organized, detail-oriented, and systems-minded.
    • Comfortable operating in ambiguity and building process and structure from scratch.
    • Excellent communication and interpersonal skills, with the ability to build relationships with candidates and stakeholders.
