    Chief Operating Officer - FT & On-Site 1st 6 months, with hybrid option

    (Spokane, WA, Boise, ID or Coeur d’Alene, ID)

    As a member of the law firm’s leadership team, you will serve an integral role in overseeing all operations for the firm’s three offices. The COO is responsible for managing, planning, coordinating, and supervising ll staff and ensuring that everything related to the firm’s staff operates smoothly. This position reports directly to the CEO of the law firm and will meet with the CEO, CFO and Practice Group Leads (“PGLs”) regularly but no less than once a month.

     PRIMARY RESPONSIBILITIES

    Support Staff Management & Development \- Lead a current team of 9 staff members (admin/receptionist, legal assistants and paralegals) who support the firm’s PGLs with a focus on:

    • Draft and maintain the firm’s policies, procedures to ensure uniformity and consistency including the firm’s employment manual.
    • Maintain all staff-related policies and procedures in consultation with impacted stakeholders including determining and recommending salary adjustments for Staff.
    • Support and provide access to staff training, supervising of and evaluation of Staff. Coordinate interviews and applicant screening for all staff positions.
    • Maintain personnel records for all staff employees, coordinate unemployment compensation hearings and handle termination of employment of staff after consultation with the CFO and CEO.
    • Onboarding and offboarding personnel from the Firm’s software tools (Google Workspace, Slack, Asana, Westlaw, Microsoft 365, Adobe).
    • Conduct HR investigations per the Grievance Policy.
    • Interface with any contractors who support the HR or compliance functions for the firm.

    Information Technology: This firm operates as a paperless law firm and must adhere to best practices in cyber security. In partnership with the firm’s IT vendor, the COO will ensure that all IT functions are met through cohesive a full security and privacy policy including:

    • Administering the in-office phone system, in-office internet connectivity, and out-of-office connectivity to enable seamless, uninterrupted use by staff and Practice Group Leaders.
    • Administering various software tools, such as Google for Work, Slack, Asana, Westlaw, Salesforce, Microsoft Office, Adobe and any others needed for the Firm.
    • Administering allocation, maintenance and tracking of firm-owned and BYOD hardware used for the firm, including computers, cell phones, scanners, printers, routers and switches, mobile Wi-Fi devices, and any other IT-related hardware.
    • Ensure a consistent review, education regarding and adherence to security and privacy policies and practices.

    Facilities Management: The COO is responsible for the overall management of the firm’s physical facilities and related functions, including office space planning (location/size, office furniture and décor), renovation and repairs, communication with the firm’s landlords, coordination with IT services regarding hardware such as copy machines and printers.

    Marketing and Public Relations - In partnership with an outside marketing & PR agency or with the firm’s in-house Marketing & PR Manager, oversee the following:

     

    • Strategic marketing plans, managing media/public relations and advertising.
    • Creation of promotional products.
    • Track and report on marketing success.
    • Lead event planning, including, but not limited to CLE, public information sessions, conferences with other partners, and open houses.

    REQUIRED EXPERIENCE & SKILLS

    • 5+ years of experience in management or leadership, including human resources.
    • Proven track record of people empowerment, leadership and consensus building.
    • Excel as a problem-solver in a fast-paced environment. Must be comfortable in working through confrontation to successfully de-escalate the situation.
    • Embrace a servant leadership mindset and hold a deep understanding of upholding the culture of a mission-driven organization.
    • Management and strategic planning experience as well as successful development and implementation of administration of programs.
    • Ability to multitask several projects at a time while prioritizing work assignments, working well with attorneys and non-attorneys at all levels in the organization.
    • Strong ability to write effectively for public audiences inside and outside the firm and to prepare written materials to support and inform management decisions.
    • Proficient in Microsoft Office applications (Outlook, Word, Excel, PowerPoint), Google Workspace, Slack, Clio, Asana and Adobe Acrobat Pro.
    • Bachelor’s degree. Concentration in business, finance, or communications is preferred.
    • Bonus if You Have:

       

    • Master’s degree or other leadership post-graduate degree.
    • Experience as an EOS Integrator
    • Experience building systems that promote and maintain employee knowledge and competency.

     

         

      Travel: Up to 20% across the Firm’s three locations: Coeur d’Alene, Spokane, and Boise (mostly day trips).

       

      COMPENSATION & BENEFITS

      Base Salary: $140,000 to $155,000, plus a discretionary annual bonus.
