The Administrative Assistant job in Portland, Maine is responsible for being the first point of contact for all incoming phone calls as well as visitors to our Portland office, greeting everyone in a helpful and professional manner. This position also prepares correspondence and large mailings using Microsoft Word and handles requests for a variety of other administrative tasks and projects for the firm. The Receptionist also provides backup support to the Office Assistant. This position works in our downtown Portland office each day and is not eligible for hybrid work. This is a full-time, day-shift position. Administrative Assistant: * A high school diploma, prior experience in an administrative support position, and knowledge of general office procedures are required. * Prior work experience in the investment, stock brokerage, bank trust, or portfolio management profession is preferred but not required. * Must project a professional image and enjoy working with the public. * Exceptional customer service, as well as interpersonal and relationship-building skills, are required. * Excellent switchboard, word processing, organizational and administrative skills. * Prior experience using Microsoft Office software, including Word, Excel, Outlook, and Adobe. * The ability to manage tight timeframes and juggle multiple and competing tasks efficiently and independently. * Must be able to maintain a mature, professional, collaborative, and problem-solving demeanor in the workplace. This position interacts with all departments in the firm. * Must be able to climb stairs and lift and carry up to 10 pounds.
