    We are an established and successful financial planning firm, with a rich history supporting clients with thoughtful financial strategies and stellar personal service. We currently manage over $200M in assets and work with individuals and small businesses. Our main services include managed investment accounts, corporate retirement plans and group medical insurance. We have an experienced and tenured team, all working towards the common goal of caring for our clients. We are looking for a someone that will align with our team, working between 20-40 hours per week. After the training period in office, this role could be flexible to a hybrid in-office schedule.

    The Client Service Associate is primarily responsible for executing on the service needs of our clients and supporting our advisors. Whether it’s setting up a new account, handling service requests, scheduling meetings, or answering the phones, you will be critical to the overall experience our clients have with our firm. Being in the financial industry, the other main component for success is ensuring that the details are impeccable.

    What you will do:

    • Answer, screen, and route phone calls, assisting client directly or taking messages as appropriate
    • Process various client service items, including withdrawals, beneficiary changes, etc.
    • Coordinate with team to complete and process new accounts
    • Prepare and distribute marketing materials
    • Organize, coordinate, and maintain all client paperwork utilizing online document storage system.
    • Process and log checks received in the office
    • Organize time: use our CRM and calendar scheduler to schedule appointments, maintain calendar, and coordinate scheduling with other staff and individuals outside the firm, as needed
    • Research and prepare information needed for client meetings; documents, notes, reports, and presentation materials as requested
    • Support clients through the RMD process
    • Maintain client records in database, including documentation of phone calls and conversations
    • Compose and type general correspondence, maintain incoming and outgoing logs
    • Communicate confidential client information professionally and discreetly
    • Deliver superior client service – troubleshoot problems and serve as liaison between Advisor and Client as needed
    • Communicate with the broker/dealer, advisory firm and product contacts
    • Maintain broker records, logs, and blotters
    • Coordinate seminars and/or client appreciation events
    • Utilize internet-based technology to process and follow-up on business
    • Perform various office management and miscellaneous tasks as assigned

    What you will bring:

    • Ability to proactively assess situations and work/think independently
    • Superior phone skills—friendly and helpful in all interactions on the phone
    • Computer literate—Proficient with Microsoft applications such as Word, Excel, and Outlook
    • Familiarity in working with a customer relationship management (CRM) software desired
    • A genuine interest in serving and caring for other people
    • Excellent organizational and time management skills and ability to multi-task
    • Professional demeanor
    • 2 years prior financial services experience is required
    • 4 years prior customer service experience required
    • Prior Securities America experience is a bonus
