We are a small office of just a few individuals who work very closely with our clients and take care of them and each other.

    Position Overview/Summary

    The Receptionist in our firm is a very important role. You are very active in our client relationships and will enjoy building relationships with families and individuals. The role is diverse and has a number of aspects from phone work to CRM management to marketing and more. The successful person is going to be positive and always eager to help wherever you can. We are happy to train someone from outside of our industry as long as you bring a caring and nurturing approach to working with people.

    Position Responsibilities

    • Greets clients and prospective clients in a friendly and sincere manner, making them feel comfortable when they visit the office
    • Handles incoming telephone calls, generally 30-60 calls per day
    • Makes 30-40 outbound calls per day following up on event attendance and scheduling appointments, as well as confirming appointments
    • Event planning
    • Website management
    • Newsletter management and emailing
    • Manager CRM including data input, updates and reporting
    • Sorts and distributes the mail
    • Sends periodic client correspondence
    • Coordinates the assembly and mailing of client paperwork
    • Handles calendars for the Advisor and others in the office
    • Orders and handles office supplies
    • Coordinates outside vendors
    • Develops, mails, and analyzes client satisfaction surveys
    • Develops and maintains written documentation (systems) of all activities
    • Performs other duties as assigned
