    The Firm

    Our firm is a non-discretionary investment advisor registered with the SEC. As a non-discretionary advisor, we do not make investment decisions for our clients, but rather support them in making their own, well-informed, decisions, which we then carry out for them. Clients remain in control of their portfolios and are engaged in their management. We supervise portfolios for individuals and families, institutions, and retirement plans, primarily in the San Francisco Bay Area, but have clients nationwide. We rigorously adhere to the fiduciary standard and are nationally known for our deep knowledge and experience with fiduciary issues. As fiduciaries, we are legally and ethically obliged to always act in the client’s best interest. The company started serving clients in 1995 and now supervises or consults on approximately $1 billion in client assets.

     

    The Role

    We are seeking an Operations Associate who is organized, a clear communicator, an effective multi-tasker, with the ability to maintain multiple databases and assist with several projects at once. Strong communication skills and a problem-solving mindset are necessary qualities to perform well in this position. Our ideal candidate has a willingness to learn, comfortable with reaching out for help when needed and consistently performs at a high level under variable workloads. This candidate must use their own judgement to prioritize time sensitive tasks over others, and will learn, over time, how to operate most efficiently. This position requires someone who will be comfortable reaching out to clients and advisors when items need to be addressed.

    The Person

    The candidate must be a clear communicator who works well in cross-functional collaboration with small teams while maintaining autonomy. The position requires paying close attention to details and being organized on a daily basis. Being able to consistently track client transactions and ongoing projects is required for this position. The ideal candidate will have strong interpersonal skills and an innate ability to build rapport with personnel and clients. The candidate will develop a solid understanding of advisor needs and the ability to deliver client-focused solutions.

     

    Responsibilities

    • Support advisors in providing top quality service to clients, by setting up client accounts, preparing client deliverables, and addressing client inquires
    • Assist in onboarding new clients by preparing client files, setting up new file structure, gathering documents and inputting information into database systems
    • Prioritize and organize workflow, as well as corroborate all facets of the operation and administration of client accounts
    • Work with the trading department through the entire trading process, including tracking trades, reviewing trades, cashiering accounts, troubleshooting errors, and maintaining the trading system
    • Review and process vendor invoices and employee expense reports
    • Monitor the progress of a variety of projects (client trades, outgoing articles, video production, client onboarding, etc.) and help resolve any issues that may arise
    • Assist in administrative duties and office support, including monitoring phone lines and email addresses, maintaining database records, scheduling client events, and filing critical documents

     

    Required Skills/Experience

    • Experience in MS Office applications, such as Word, Excel, PowerPoint, etc.
    • Detail-oriented with ability to prioritize and organize workflow
    • Ability to work in a fast-paced, high-intensity work environment
    • Ability to acquire a working knowledge of the portfolio of accounts
    • Self-starter and able to work independently
    • Superior interpersonal, organizational and client service skills
    • Ability to work effectively in a team environment
    • Flexible and willing to perform other tasks as assigned
    • Experience with DocuSign, Concur, Salesforce, and Orion Advisor software solutions preferred
    • Previous experience, including internships, involving customer service or financial services preferred
