    Our firm is looking for a Client Service Associate to support one of our advisors, their clients and our continued growth. This is a critical role in our organization. You are going to be tech savvy, an adopter of change and always willing to help. You are naturally curious, and you are capable of identifying efficiency gaps and executing on improvement. You are proactive and able to help clients and your advisors steer clear of landmines. You will have impeccable detail orientation abilities and an unwavering ability to figure things out, even with little to no direction. We are willing to teach you about our industry if you have these critical characteristics. Due to the nature of our industry, this is a full-time, in office position.

    Responsibilities:

    • Client account management, processing and following up promptly on all service requests, including deposits/withdrawals, account changes, etc.
    • Utilize CRM, ensuring consistent and efficient client experience
    • Greet clients, prepare conference room and documents needed for client meetings
    • Ensure clients meet deadlines for retirement plan contributions and RMD withdrawals; proactively contact clients to inform them of deposits or withdrawals that need to be made
    • Assist clients with account website issues
    • New account set up, ensuring paperwork and other communication items are in order according to workflows
    • Prepare and submit all paperwork necessary to open and service client accounts, within two business days of client meeting
    • Assume cashiering function with custodians; manage the transfer of assets
    • Ensure proper allocation and rebalancing of all client investment accounts at least once per quarter and when deposits/withdrawals occur, without having to rely on financial advisor for guidance
    • Ensure excess cash is invested according to assigned allocation model within two business days of when it is deposited, unless instructed otherwise by client or advisor
    • Proactively communicate with team regarding work in progress
    • Act as a back-up to other Client Service team members when they are unavailable
    • Support all additional operational activities including, high touch client service, custodian communications, software usage and monitoring

    Background:

    • 3+ years of experience working with clients and in regulated, paperwork-driven or other detailed-oriented environments
    • Bachelor’s Degree from nationally recognized institution or equivalent combination of education/work experience
    • Basic knowledge of financial markets preferred
    • Highly organized, with an absolute attention to detail
    • Excellent follow-through and communication regarding status of open items
    • Client-first attitude: ability to interact with clients professionally and respond to clients in a timely manner
    • Editing and writing skills to initiate, compose, format, proofread and carefully edit various professional business documents and correspondence
    • Strong time management skills; Ability to prioritize and coordinate multiple work assignments and deadlines efficiently despite frequent interruptions
    • Excellent interpersonal and communication skills; ability to communicate in a pleasant, tactful and effective manner (both orally and in writing), and to handle difficult, sensitive issues
    • Basic computer skills and experience in using Microsoft Office suite, email, internet, databases, and other standard office desktop applications including client relationship management
    • Ability to analyze situations, define problems and/or objectives, identify relevant factors, formulate logical conclusions and suggest alternative solutions
