The Purchasing Assistant support’s the Purchasing Department’s administrative and clerical work related to the buying function.

Essential Duties and Responsibilities:

Include the following: (Other duties may be assigned)

• Data entry tasks as assigned by the Purchasing Manager or Purchasing Team.
• Maintain Vendor files
• Answering calls and directing them to the appropriate party.
• Completing any other necessary task for the Purchasing Department.
• Audit POs for accuracy.
• Maintain consistent email communication, with vendors on order status and backorders.
• Review deliveries against orders by working with the Receiving Department.
• Track the status of any orders.
• Ensure that any invoices are sent to accounts for payment.
• Produce and maintain all reports.
• Miscellaneous administrative duties.
• Sending a request for quotes to multiple vendors
• Create and issue Pos
• Attend weekly planning meetings to share the status of orders

Supervision Responsibilities:

None

Organizational Responsibilities:

• Received input and requests from various department heads
• Receives input from the inventory clerk to determine what items need to be purchased
• Communicates with other departments regarding the availability of materials and supplies
