    Job Description

    OFFICE ADMINISTRATOR (WEST CHESTER, PA)

    TAYLOR’S MUSIC STORE is a family-oriented, full-line modern music store offering sales, service, rentals, and lessons and has been in business over 90 years. Taylor’s is seeking a PART-TIME OFFICE ADMINISTRATOR.  This permanent part-time OFFICE ADMINISTRATOR position will perform general administrative tasks in an office environment Monday through Friday for 20 – 25 hours per week.

     JOB DUTIES AND RESPONSIBILITIES

    Core duties and responsibilities include the following.  Other duties may be assigned.

    RENTAL PROGRAM ADMINISTRATION

    ·         Run monthly rental autopay process through Point of Sale (POS) database to collect receivables

    ·         Input Rental Contracts into POS database including follow up and resolution of all contract issues

    ·         Track and fill all internet-based Rental orders and coordinate with School Rep for deliveries

    ·         File and organize inactive and current rental contracts

    ·         Administration of promotional rental programs (i.e. 2nd Year Special, customer Rental Credit, etc.)

    ·         Act as point person for all instrument Rental Program issues and questions for customers and floor staff including all rental promotions, billing, and pricing

    ACCOUNT MANAGEMENT AND RECONCILIATION

    ·         Contact / follow up with customers regarding delinquent payments and declined credit card payments

    ·         Track and monitor delinquent accounts and refer to collection agencies per established process

    ·         Track and monitor product layaways, products on approval, loaners, and short-term rentals

    ·         Maintain tax exempt records

    ABILITIES AND SKILLS

    ·         Proficiency in Microsoft Office programs, including Excel, Word, and Outlook

    ·         Excellent written and oral communication skills

    ·         Highly organized and detail oriented with a drive for a high level of accuracy

    ·         Good interpersonal skills with ability to work with sales staff, management, and customers

    ·         Ability to perform basic math computations including percentages and margins

    ·         Familiar with using customer and inventory database systems is preferred

    ·         Must ensure confidentiality when working with sensitive information

    ·         Ability to multi-task and prioritize competing tasks and projects in a fast-paced environment

    JOB REQUIREMENTS

    ·         High School diploma

    ·         Associates Degree a plus

    ·         5 or more years relevant work experience

    ADDITIONAL REQUIREMENTS

    ·         Ability to ascend / descend a flight of stairs

    ·         Be able to lift up to 10 pounds
