    ABOUT THE ORGANIZATION:

    The Arizona Commerce Authority (ACA) is the state's leading economic development organization with a streamlined mission to grow and strengthen Arizona’s economy. The ACA uses a three-pronged approach to advance the overall economy: recruit, grow, create – recruit out-of-state companies to expand their operations in Arizona; work with existing companies to grow their business in Arizona and beyond; and partner with entrepreneurs and companies large and small to create new jobs and businesses in targeted industries.

    ABOUT THE ROLE:

    The Venture Development & Innovation Strategy team ensures small businesses, startups and investors thrive in Arizona. Our Team Assistant will support all our services, programs and events to help the team make Arizona the best place to start or grow a business.     PRIMARY RESPONSIBILITIES:

    • For the EVP of Venture Development & Innovation Strategy (30%):
      • Organize and schedule meetings and appointments, conferences, and speaking engagements.
      • Prepare and circulate agendas and meeting minutes for both internal and external meetings.
      • Track tasks, meetings, activities and events and add to the EVP’s weekly report.
      • Create and maintain an inventory of critical tasks, high priority activities and deadlines.
    • For the Venture Development & Innovation Strategy team (70%):
      • Travel Management
        • Facilitate, manage and file all travel documentation.
        • Book and pay for flights (with the company P-card) as directed by team members.
        • Collaborate with accounting, procurement and finance as needed.
      • Vendor / Client Management
        • Manage client contracts and invoices
        • Manage vendor contracts and invoices
        • Fill-in occasionally for the front desk receptionist and facility manager
      • Event Support (Internal & External)
        • Project manage, organize and track details and tasks needed for team events.
        • Facilitate or host meetings as needed to ensure internal / external events are on track.
        • Book venues, organize food and beverage, coordinate audio/visual and book IT support.
        • Create materials, slide decks, graphics, and copy for social media and registration platforms.
        • Collaborate with ACA’s marketing and communications teams as necessary.
      • File & Contact Management
        • Organize and manage projects using Teams, Planner and SharePoint.
        • Contact / client data management as needed in Outlook, Excel and Salesforce.

    **COMPETENCY, EDUCATIONAL, & EXPERIENCE REQUIREMENTS: **

    • We’re seeking a professional with a high degree of interpersonal skills to handle sensitive and confidential information.
    • Must be comfortable interacting with all levels of the organization.
    • Must be able to work in a fast-paced environment with demonstrated ability to handle multiple competing tasks and demands while exhibiting great attention to detail. Role continually requires demonstrated poise, tact, and diplomacy.
    • Minimum five (5) years as a team assistant, marketing coordinator, event planner, or related position.
    • Professional, positive and self-motivated team player.
    • Strong attention to detail and quality control.
    • Strong organizational and planning skills in a fast-paced environment.
    • Excellent time management skills with ability to multi-task and prioritize work.
    • Focus on follow up and follow through for projects and tasks with different team members.
    • Excellent verbal, written and interpersonal communication skills; a highly collaborative team approach to work.
    • Proficiency with MS Office Suite and web-based technologies.
    • Experience in using various kinds of communication tools, including Teams and Zoom.

    **PREFERRED SKILLS, ABILITIES & QUALIFICATIONS: **

    • Familiarity or experience working in public or state organizations.
    • Demonstrated track record of building meaningful relationships across a diverse group of stakeholders.
    • Able to ask good questions, be persistent; find solutions or answers independently.
    • Experience with social media tools, Luma, Eventbrite, Concur and Salesforce a plus.
    • Innovative – prefers working in unconventional ways or on tasks that require creativity.
    • Detail-oriented – able to attend closely to minor issues and questions with focus on accuracy and completeness.
