Job Title: Team Coordinator
Position Overview
The Team Coordinator plays a key role in keeping projects organized and running smoothly. This position supports Project Managers and Superintendents by handling scheduling, communication, and administrative tasks from the start of a job through completion for both the Mitigation and Reconstruction Teams.
Key Responsibilities
Schedule appointments and keep clients informed of any changes or delays
Serve as the main point of contact between project managers, customers, insurance adjusters, subcontractors, and vendors
Maintain accurate job records, including notes, estimates, invoices, and reports
Handle billing and collections for deductibles, progress payments, and final balances
Assist with required documentation such as permits, vendor paperwork, and insurance forms
Dispatch crews for restoration or reconstruction work, including emergency calls
Provide excellent customer service and clear communication throughout each project
Qualifications
Strong attention to detail and accuracy
Ability to handle multiple tasks and meet deadlines
Background in accounting principles (AP/AR, payroll), and/or Proven Accounting Software
Proficient in Microsoft Excel and Word
Ability to learn new accounting and office software systems
Strong written and verbal communication skills
Ability to handle confidential financial information with integrity
Dependable and able to work independently with minimal supervision
Ability to sit for extended periods at a desk or in a vehicle
Comfortable using standard office equipment and computers
Ability to lift up to 25 pounds
Occasional bending, kneeling, or walking at job sites
Ability to work around typical construction site conditions, including noise from equipment
Experience & Education
High school diploma or GED required (college degree preferred)
1–3 years of experience in project coordination (restoration or construction experience is a plus)
Strong computer skills, including Microsoft Office (experience with Xactimate, QuickBooks, or similar software is a plus)
Excellent communication and organizational skills
Ability to manage multiple tasks in a fast-paced environment
Valid driver’s license and ability to visit job sites when needed
Physical Requirements

Work Environment & Schedule
Full-time position
Monday–Friday, 8-hour shifts
Occasional overtime as needed
Office-based role in Smiths Grove, KY
Inside Office: 90% and Collaboration on Work Sites: 10%
Salary Range and Benefits
$40,000–$50,000 per year, based on experience
Paid holidays
3 PTO day (after 90 days)
5 vacation days (after 90 days)
