We want to align ourselves with a highly motivated Administrative Assistant to support the Operations Manager with overseeing daily tasks with a focus on transaction coordinator, marketing, and client engagement. As the administrative assistant, you would be responsible for overseeing transactions from start to finish to ensure a smooth and successful sale. Responsibilities: • Support operations manager with daily tasks • Act as a liaison between clients and agents, keeping clients up to date on all stages of their transaction • Work directly with attorneys, mortgage lenders and title agents to ensure timely processing times to a successful closing • Compile and distribute weekly/monthly reports to management with status updates • Manage contract to close process • Be the first point of contact in handling customer inquiries and complaints • Keep agents informed about challenges and issues that need to be handled • Provide concierge-level customer service to clients and customers • Manage calendar and send out weekly reminders of upcoming critical dates via email • Continue to take the day-to-day office tasks away from the agent, organizing workflow and reducing inefficiencies • Manage the team's transaction management platform for clients' contracts • Coordinate marketing materials with marketing department in a timely manner Qualifications: • High school or equivalent required, some college experience preferred • Must have excellent organizational skills and communication skills • Driven by a desire to provide excellent customer service and a great customer experience • Background or knowledge of the real estate industry, transaction coordination, titles, and mortgages preferred • NJ Real Estate License a plus, but not required • Spanish speaking is a plus Compensation: $55,000 - $65,000 Base Salary + Bonuses
