    GENERAL SUMMARY

    The role of the receptionist is critical in representing Team One: the receptionist delivers Team One’s “first impression” of the agency. Primary responsibilities includes greeting guests, booking conference rooms, onboarding new employees and ensuring administrative Office Services tasks are taken care of daily.  Other administrative duties required may include updating THE MONTHLY PHOTO LIST, creating anniversary cards, administration of the RideShare, and other Office Services programs.  

    Day to Day:

    ·       Checks the voicemail of the main office phone line daily and greets guests – clients and vendors.

    ·       Updates the monthly photo lists.

    ·       Monitors parking validation inventory and orders new stock from building management.

    ·       Manages Team One anniversary card process with department heads.

    ·       Main point of contact for EV charging program.

    ·       Responsible for RideShare and Parking programs administration.

    ·       Assists Office Services supervisor with special projects and assignments as needed. May assist other departments with special projects as approved by Supervisor.

    ·       Sets up new key card access for employees/freelancers and manages key card activations with building management.

    ·       Manages the nameplates and business cards for new employees and freelancers.

    ·       Maintains records and reconciles monthly parking invoices and monthly key card reports.

    ·       May assist Facilities Manager with furniture relocations and set-ups as required.

    ·       Manages Purchase Orders and monthly bills for Office Services.

    ·       Responsible for maintaining and managing Concierge Program.

    ·       Manages Guest WIFI setup for clients, vendors, guests and events.

    ·       Meets with new employees in the HR Orientation onboarding process for Office Services.

    ·       May assist in setting up and cleaning up client lunch meetings and ordering catering.

    Experience: 1 year work experience preferred (may be customer service experience or customer-related work).  Familiarity with PC - Microsoft Word and Excel

    Education: High school graduate required.

    Skills and Abilities:  Must demonstrate excellent communication skills – verbal and written - at all times.  Must demonstrate a pleasant and approachable demeanor at all times.  Must be a self-starter, organized, able to prioritize and multi-task, and be a team player.
