    GENERAL SUMMARY The Talent Admin will provide administrative support to the day to day running of the Talent team. You will be an organizational master, work effectively with internal teams, possess great communication skills, have the ability to shift gears at a moment’s notice and enjoy the challenges of helping to build a great organization of talent. This is an amazing opportunity for someone who enjoys supporting a team and providing amazing customer service to the agency. 

    DAY TO DAY: •    Manages the day-to-day HR administration such as keeping electronic employee files current, sending out promotion letters and other HR related documents via Adobe Sign and filing the signed versions. •    Manages i9s and first day documents and files •    Organizes employees exit process including confirming contact details, arranging for equipment return, entering into smartsheet and scheduling the exit interview.  •    Manages the organization of all talent related files in Lion box and on the shared drive •    Manages Team One Communication Email •    Manages Talent@TeamOne email •    Process Executive Director of Talent expenses. •    Processes department POs •    Communicates employee changes to Career Settings Partners •    Coordinates payroll issues under direction of the Associate Director, Talent and the Talent Coordinator.  •    Expenses – track and submit reimbursements for travel, etc. •    Organizes group outings/events when needed •    Organizes group meals when needed •    Run reports for various stakeholders on a routine basis  •    Manages administrative changes in the Time-Off tool •    Assists Talent Coordinator with quarterly CSR reporting •    Assists with Talent related events (such as New Hire Days) as needed •    Book meetings and confirm attendees and in-room needs for meetings •    Answer general employee questions and connect with the right team member for more complex questions •    Develop documents and presentations as needed •    Assist Talent Program Specialist with weekly newsletter as required •    Assists with various talent projects as required.

    EXPERIENCE: 2-3 years of administrative experience in a creative/customer service environment. 

    EDUCATION: A Bachelor’s degree or equivalent working experience. 

    SKILLS AND ABILITIES: This person must be highly organized, with a charismatic and varied communication style.  Ability to solve complex problems and have great administration skills.
