    Job Summary

    We are seeking a motivated and outgoing Administrative Assistant to join our team. In this role, you will provide support to the Fund Administrator and others to help make the office run efficiently. The ideal candidate is highly organized with excellent written and verbal communication skills, is proficient in the MS Office Suite and has a friendly demeanor.

    Responsibilities

    Support the Fund Administrator with calendar management, scheduling meetings, hosting Zoom meetings, preparing expense reports, letters, spreadsheets, etc.

    Coordinate the collecting, preparing, and communicating of all documents for Trustee meetings (13 different Trustee meetings over the calendar year).

    Set up and monitor Zoom for Trustee meetings.

    Act as the tenant point of contact for the building, including requests and complaints.

    Assist the Fund Administrator with incoming leases when needed.

    Plan the logistics of large-scale events, such as Health Fairs, Back-to School Fair and Scholarship Reception.

    Register the Fund Administrator and other office staff for the Annual IFEBP Conference and other training as needed, including setting up all travel arrangements.

    Manage key card access program for the building.

    Order office furniture as needed and coordinate repairs.

    Assist the building maintenance staff with ordering supplies as necessary.

    Assist the building maintenance staff with building temperature adjustments as needed.

    Other clerical tasks as required.

    Qualifications

    High school diploma/GED required, Associate’s degree or administrative training is preferred

    Previous experience as an Administrative Assistant or in a similar position

    Familiarity with standard office equipment such as printers and fax machines

    Excellent computer skills and knowledge of Microsoft Word, Microsoft Excel, Outlook, Publisher, and PowerPoint

    Ability to multi-task, prioritize, and control time effectively.

    Detail oriented

    Works well with a team

    Ability to handle sensitive and confidential information with integrity

    2 to 4 years of related experience preferred, especially in a Fund Office
