JOB SUMMARY:
The Office Manager will be responsible for a variety of duties at the Teledyne FLIR Orem, UT site. This includes administrative support, purchasing and procurement support, visitor security/screening, site-specific new employee onboarding, general office upkeep, business proposal support and mailing/shipping support. This position will also be responsible for catering and host coordination, conference room setup, ordering and stocking site supplies (consumable paper products, cleaning supplies, common area refreshments) and scheduling cleaning and maintenance. This positions reports directly to the site lead.
20-40 hours per week. Willing to work around personal schedule. Some work from home.

PRIMARY DUTIES & RESPONSIBILITIES:
• Provide support for all administrative and site needs.
• Assist with various non-technical writing/editing responsibilities, including job requisitions and business proposals.
• Work with vendors on requesting and filling out documentation to support purchasing and service agreements.
• Purchase items as requested, including web purchases and purchase requests through SAP procurement system.
• Coordinate work across teams through meetings.
• Coordinate with site personnel for visitor requests and pre-screen visitors in accordance with local site security policies.
• Support import/export activities for Procurement & Sales on a per-project basis, and ensure all stakeholders are updated and import/export tasks and processes are completed.
• Customize corporate policies and procedures for the site.
• Interface with new hires and provide appropriate direction and guidance for cross-functional training and direction during onboarding.
• Conduct ad-hoc on-site training for local and relevant corporate policies and procedures.
• Coordinate and schedule cleaning, maintenance, and catering services.
• Ensure conference rooms are properly set up prior to meetings.
• Manage, order and stock common site supplies.
• Other administrative duties as required.
JOB QUALIFICATIONS:
• AA or Bachelors in related field preferred
• Prior experience with office/facilities support – 5 years desired.
• US citizen
• Excellent verbal communication and writing skills (writing samples required)
• Capable of high-level problem solving
• Willing to assist in all site-level administrative functions
• Excellent analytical skills
• Detail oriented
• Proficient with MS Office products including Word, Excel, and PowerPoint
