We are currently seeking an experienced, reliable CLIENT SERVICE & OPERATIONS ASSOCIATE with exceptional interpersonal skills to work in a client facing role in our San Diego, CA office. This position is an exciting opportunity to enhance the client experience by providing superior service, and to assist financial advisors by providing business development and marketing strategy support. The ideal candidate will be a quick learner who takes initiative and is able to work independently, exhibits high standards, and has a passion for providing excellent customer service. Position Summary: This position acts as the liaison between the Marketing Director, the firm's financial advisors, its clients, and third-party custodians. Primary duties include: assisting the Marketing Director and the firm's marketing staff with maintaining and updating marketing materials, preparing portfolio reviews, scheduling appointments for new and existing clients, opening and maintaining client accounts, processing client requests, entering prospects and new clients in firm's CRM system, maintaining readily accessible client records, rendering exemplary client service, interacting with custodians, and providing administrative and operational duties that support to the rest of our team. Principal Duties and Essential Functions: - Provide comprehensive administrative support to the Marketing Director, financial advisors and other marketing staff. - Promptly respond to and resolve routine client inquiries and requests via phone, email and/or other contact methods to ensure timely completion. - Prepare client account paperwork, submit to custodians and communicate with clients on status. - Monitor daily custodial alerts, including cash management, account updates, etc., and follow-up as needed to resolve. - Execute account maintenance tasks, such as opening and maintaining client accounts and portfolio implementation monitoring. - Establish and maintain client files and records in CRM (Junxure) and portfolio management system (Tamarac) consistent with firm policies. - Arrange and coordinate appointments for new and existing clients, prepare meeting materials and confirm with participants. - Write and proofread business correspondence, report and documents; process expense reimbursements. - Perform general office duties such as efficient maintenance of all client files, copying, imaging, answering incoming calls as back-up to the front desk, and other office tasks to meet the ongoing needs of the firm. - Adhere to organizational code of ethics and follow policies and procedures. Requirements/Qualifications: - 4-year degree preferred - 2+ years of relevant experience in the securities or investment management industry - Experience with CRM systems (Junxure) is important - Strong interpersonal skills required to develop team and client relationships - Passionate about providing exceptional client service - Excellent communication and follow-up skills - Ability to work independently.
