    This position is responsible for providing administrative and professional support to the Health Center Director, Chief Medical Officer, Mid-level Providers, and Registered Nurse. The Administrative Assistant has a working understanding of medical technology and terminology, as well as front office and back office procedures. This is a temporary position, to be hired for no more than 6 months.

    Required Education

    • High School Diploma; two years of college preferred.
    • Training in Medical Terminology.
    • Training in Health Information Privacy.

    Required Experience

    • Three years of experience in a Medical Administrative Support position.
    • College attendance, work-related experience, or completion of business courses in office procedures and medical coding.
    • Experience using advanced computer skills, including Microsoft Office (Word, Excel) and Google Apps.

    Primary Duties/Essential Functions

    • Assists the Director, Physician, Mid-level providers, and nurse in providing administrative support such as scheduling, accounts receivable/payable, and preparing documents and reports as assigned using Microsoft Word and Excel.
    • Serves as the initial contact for students seeking services or information from the Student Health Center (SHC).
    • Request and run reports through Medicat Electronic Medical Record (EMR) for the physician and the director.
    • Acts as a PR liaison between the Student Health Center and patients, families, staff, faculty, and other outside offices.
    • Assists in scheduling appointments for physicians, nurse practitioners, physician assistants, and nurses.
    • Maintains confidentiality at all times.
    • Professionally manages a wide range of incoming phone calls and inquiries regarding health center services, appointments, insurance, hard waiver process, immunization compliance, and messaging for the health center staff.
    • Responsible for tracking all pre-matriculation immunizations for incoming students through Medicat and managing account holds for incomplete records.
    • Procurement of front office budget; purchase orders, department account transfers for health center services, cash deposits made for SHC services, ordering office supplies, accounting for collection of payment for lab services.
    • Responsible for verifying postings made to student accounts by Medicat at the end of each business day.
    • Assists students with reimbursement from patient insurance for services received and paid for in the SHC.
    • Assists with SHC special events and promotions.
    • Participates in weekly Staff Meetings.
    • Responsible for creating and updating the written SHC Front Office Policy and Procedures.
    • Participate in continuing education.
    • Other duties as assigned by the SHC Director or the Chief Medical Officer.
    • Regular, punctual attendance is required by the supervisor based on department needs.

    Compensation

    • Grade 6: $17.72 to $20.38 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity. In addition to compensation, APU offers a competitive benefits package.
