    LOCATION: AUSTIN (LOCATION HIGHLY PREFERRED) - REMOTE WORK FROM HOME POLICY, WITH SOME IN OFFICE WORK TIME REQUIRED.

    OVERVIEW OF THE OPPORTUNITY

    The Texas Civil Rights Project (“TCRP'') seeks an Office Administrator for its People, Finance and Operations (PFOPs) Department. This position will perform administrative tasks and services to support effective and efficient operations of the organization's PFOPs department and will be remote until at least September 2022. Because this position will call for some in-person responsibilities, we highly prefer this person to live in the Austin area.     ABOUT THE ROLE

    Our office is currently functioning with a hybrid of remote and in-person work due to the global pandemic. Preferably, the Office Administrator will be based in the Austin area, but will work primarily remotely until the office reopens based on available information from the CDC and local health officials. We anticipate the Office Administrator will need to be physically present in the office at least one day per week to complete clerical office management tasks.

    The ideal candidate will be an empathetic listener adept at discussing sensitive topics and eliciting key information. This position requires diligently managing follow-up with staff and clients, they should also be a self-starter who is organized, detail-oriented, and excited about creating and implementing efficient processes that will benefit the organization and our clients.

    As part of this work, the Office Administrator will:

    ASSIST WITH GENERAL CLERICAL AND ADMINISTRATIVE SUPPORT FOR THE DEPARTMENT. THESE DUTIES INCLUDE:

    • Processing invoices and generating expense reports;
    • Cite-checking, proofreading, and formatting HR documents;
    • Providing onsite administrative, logistical and other support for the department
    • Routing and responding to inquiries from donors, vendors, and the general public;
    • Scheduling meetings and conference calls; preparing materials and taking minutes for meetings;
    • Picking up, opening, sorting, assigning, scheduling, and organizing mail for the department;
    • Providing administrative support for application review, interviewing, and onboarding of applications for interns and newly hired positions;
    • Providing additional administrative support to program staff, as identified by a program director
    • Ordering office supplies

    ASSIST WITH GENERAL UPKEEP AND MAINTENANCE OF THE OFFICE, INCLUDING:

    • Scheduling and coordinating maintenance services such as janitorial, internet, municipal services, security, etc.
    • Troubleshooting office organizational and maintenance needs as they arise;
    • Coordinate in-office appointments with department staff;
    • Work jointly with interns and communicate routine and/or procedural guidance on projects assigned by managers
    • Engage in special projects and other duties as assigned

    ASSIST CHIEF OF STAFF WITH CERTAIN ADMINISTRATIVE TASKS IN SUPPORT OF THE EXECUTIVE AND LEADERSHIP TEAMS, INCLUDING:

    • Submitting all reimbursement requests for the Chief Executive;
    • Scheduling meetings and conference calls for the Executive team;
    • Executing all travel arrangements for the Chief Executive and upon request for all other leadership team members;
    • Assisting with meeting arrangements for in person meetings and staff retreats
    • Supporting with other Executive administrative needs, as requested

    TO SUCCEED IN THIS ROLE, THE IDEAL CANDIDATE SHOULD HAVE THE FOLLOWING QUALIFICATIONS:

    • At least two years experience of administrative or comparable work in a community or professional setting;
    • RESIDENCE BASED IN THE AUSTIN AREA
    • Must take initiative, be highly organized and detail-oriented, and possess strong interpersonal and time-management skills
    • Excellent organizational skills, including document management and calendaring;
    • Ability to work independently as well as within a team while maintaining a high level of efficiency and professionalism
    • Ability to handle multiple tasks simultaneously and see projects through to completion
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, etc.) and experience with Internet research
    • Familiarity with the Google ecosystem;
    • High standard of professional and ethical conduct, integrity, and discretion

    COMPENSATION

    This is a part-time position. The hourly rate for this position is $25/hour. The ideal candidate will have the ability to work up to a maximum of 30 hours per week.
