    Job Description

    Summary: The purpose of this job is to ensure that the maximum number of phone calls are picked up on a daily basis and ensure orders are processed in a timely manner. Responsible for handling customer questions, complaints, processing orders, discrepancies, maintenance of client’s account & inventory, and billing with courtesy and professionalism.

    ESSENTIAL JOB DUTIES/FUNCTIONS:

    · Assist in referring customers to outside sales staff for quote or order assistance, preparing outside sales quotes

    · Provide product information to customers

    · Follow up on open quotes with outsides sales

    · Assist in sales for promotional items

    · Verify and update customer contact information

    · Provide daily and weekly reports for various departments, such as sales commission, open sales order report and labor

    · Process and enter new casting orders

    · Prepare purchase request for new orders, stock orders and send to vendors

    · Follow up with various departments on parts order

    · Upload closed PO’S and invoiced orders to server

    · Administer and update purchase orders and sales orders in system with detailed information.

    ADDITIONAL JOB DUTIES:

    · Order entry (received orders by phone, fax, email) and submit to server

    · Discuss any issues with Sales Representatives

    · Communicate with customers regarding their order status

    · Process pickups / adjustments / couriers / special orders

    · Logistic arrangements for deliveries and/or pickup, order stock for warehouse

    · Communicate / proactively interact with customers addressing concerns or questions

    · Liaison for internal departments relating to issues regarding transportation, purchasing, etc

    · Ensure faxes are received and transmitted in an efficient manner

    · Maintain filling, ordering, work / call sheets, invoicing on a daily basis

    · Greeting customers and other visitors

    · Answering, screening and forwarding phone calls

    · Taking and relaying messages

    · Dealing with queries from the general public and customers

    · Providing general administrative and clerical support such as send credit applications to new customers, credit rating request for references, credit authorization, credit approval letters as well as gathering W9 information for customer set up.

    EDUCATION AND/OR EXPERIENCE:

    · High School diploma or GED required.

    · Three to five years experience in customer service and processing orders

    · Three to five years experience in inventory based environment

    · Three years preparing quotes for customers

    · Three years shipping experience

    · Experience working in a manufacturing environment not required, but preferred

    MINIMUM QUALIFICATIONS:

    · Demonstrated ability to be proactive and lead.

    · Highly organized with a record of prioritizing multiple projects and meeting deadlines.

    · Proficient in MS Office Suite.

    · Candidate will have strong interpersonal skills, enjoy and create a team environment.

    · Able and willing to deliver friendly, courteous, and prompt customer service.

    · Able and willing to work cooperatively with other team members.
