    ABOUT US:

Our Company continues to grow, and we are constantly evaluating opportunities to widen our geographic footprint and client base.

    MAIN RESPONSIBILITIES: 

    • Providers, payments and database management (Lemax platform) 

      • Help to input and update generic and specific product information
      • Keep track of validity and accuracy of product pricing, correcting invalid or outdated information
      • Manage provider payments and reservations (for for Flexible Program Managers)
    •   Speaker, faculty and student gifts & care packages 

    • Coordinate purchase and/or mailing of gifts and thank you notes for speakers and faculty 

    • Coordinate student care package design and delivery as well as delivery of any items necessary for the students to complete activities 

    • Activity scheduling and sourcing

      • Develop a portfolio of cultural activities and keep them up to date on Lemax
      • Book virtual/travel cultural activities
      • Evaluate ongoing feedback about the activities and incorporate improvements

       

    • Develop Logistics Knowledge per location through a Destination Management Company and/or directly with providers to support the Operations and quotation process: seeking out, evaluating, selecting, negotiating pricing and payment terms, as well as COVID protocols and biosecurity of service providers:

      • Cultural/Educational Activities
      • Restaurants
      • Transportation companies
      • Guides
      • Meeting Spaces (Venues and Hotels)
    • Program Manager/Flexi Program Manager support:

      • Transfer session recordings for filing
      • Assist with program online page as necessary
      • Assist with document creation as necessary
    • Providers Vettings (support to Risk Management)  

      • Define most relevant providers 
      • Support vetting process and preparation to travel plan 
      • Manage Program Coordinator (Travel) booking to support Program Managers once travel resumes

    YOU WILL EXCEL IN THIS POSITION IF YOU ARE: 

    • Highly organized and detail-orientated 
    • Possess excellent interpersonal skills 
    • Open to new processes and tools 
    • An independent worker, able to multitask and work in collaboration while simultaneously managing various deadlines

     

    QUALIFICATION & EXPERIENCE:

    • Advanced level of English
    • Bachelor's degree
    • Experience in events and/or logistics is a plus
    • Strong administrative skills
    • Strong communications and interpersonal skills, creativity, flexibility and a positive attitude 
    • Good user level experience with Google Workspace
