    Job Description

    The Creative Department is seeking an Account Coordinator to join our team!

    The Account Coordinator reports to the Account Manager and is responsible for helping our internal team and customers by assisting various levels of project management and account services while ensuring the effective execution of client objectives in marketing and communications projects. The Account Coordinator position encompasses administrative, project tracking duties, research, and handling of budgets.

    Our environment is fast-paced, encourages creative thinking, is team-centered, detail focused and changes quickly and often. This is a 100% remote position, Pacific time. Candidates must have reliable high-speed internet and a dedicated workspace.

    Qualified candidates will be proficient with Mac, Chrome, multiple window workflow, online applications, and password management. Additionally, The Creative Department uses Asana, Dropbox, Trello, Workfront, and Microsoft 365. Please submit a cover letter and resume/cv.

    YOUR RESPONSIBILITIES (not limited to):

    • Preparing account service-related documents such as meeting agendas, meeting reports, proposals and other client communications and correspondence.
    • Participating in and documenting discussions during client meetings and conference calls.
    • Reviewing vendor quotes.
    • Verifying production specs.
    • Creating and/or providing feedback on project estimates and timelines.
    • Fielding and processing internal information requests.
    • Assisting with mailings.
    • Maintaining current work-in-progress records and archives of past project information as appropriate.
    • Meet and discuss projects with clients.
    • Assist in formulating marketing strategies.
    • Present creative work to clients.
    • Day-to-day administration duties.
    • Assist in researching clients' products, services, plans, competitors, and target markets.
    • Brief agency colleagues, and work with them to plan and implement the best solutions for the client.
    • Ensure that projects are completed on time and within budget.
    • Responding to clients' requests as they arise.
    • Keeping records and handling invoices.

    SKILLS and EXPERIENCE

    • Previous experience in customer service, admin assistant, executive assistant
    • Excellent written and verbal communication skills
    • High level of organization
    • Ability to build rapport with clients
    • Ability to prioritize and multitask
    • Positive and professional demeanor
    • Willingness to constantly learn new approaches and keep up with trends
    • Project Management skills, including timeline development, waterfall, or angular management skills
    • This is a remote position, reliable internet and phone communication is necessary for our working hours PST time
    • Bi-lingual a plus!
    • Healthcare experience a plus!
