The Treatment Coordinator's primary responsibility is to facilitate the patient's office experience in being seamless and ensure the patient leaves well informed and prepared for their next appointment. This includes ensuring the patient understands their treatment plan, the benefits of treatment, insurance benefits, assisting with financial arrangements, and coordination of appointments.     OFFICE MANAGER 

    WORK SCHEDULE 

    The Treatment Coordinator will be notified of the work schedule on a weekly, bi-weekly, or monthly basis. The Treatment Coordinator's schedule is subject to change (daily/weekly hours may increase or decrease) according to the needs of the practice. Evening and weekend hours may be required. This position is paid on an hourly basis.

    JOB OVERVIEW

    The Treatment Coordinator performs a variety of educational and financial tasks and duties including, but not limited to conducting patient consultations during exam appointments; calculating fees for treatment; coordinating patient financial arrangements, and educating patients about the health risks of not receiving proper treatment. The Treatment Coordinator may be required to assist with general front office duties.

    While performing the duties of this position, the employee is regularly required to stand, sit, and walk; talk, hear, and smell; and use hands, fingers, and wrists (manual dexterity and hand-eye coordination) to handle or feel the mouth/teeth and gums of patients, as well as objects, tools, or controls associated with the dental field. The employee is frequently/occasionally required to reach; lift and/or move up to 25 pounds; and balance, stoop, bend, squat, kneel, crawl, climb, twist, pull, and crouch.  The essential functions of this position require specific vision abilities, including close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. The essential functions of this position will occasionally result in the following: hazardous exposure (chemical arid infections); non-ionizing radiation (welding flash, microwaves, sun, etc.); radiation (x-ray, radioactive, isotopes, etc.); noise (loud/repetitive, 85

    decibels per OSHA standard); and personal protective equipment (PPE: respiratory masks, latex gloves, face shields, etc.).

    RISK FACTORS 

    The dental office environment may result in employees being exposed to toxic chemicals, potentially infectious bodily fluids and materials, and increased noise levels. This position assumes a moderate risk.

    QUALIFICATIONS

    • Prior to dental and treatment sales experience required
    • Advanced knowledge and use of dental terminology required
    • Bilingual: English & Spanish required (if the geographic location of the office does not require the applicant to be bilingual, applicants who only speak English may be considered)
    • Prior experience working with insurance, Denti-Cal, and HMOs preferred
    • Means to travel from one office to another, required as necessary

    RESPONSIBILITIES AND DUTIES

    • Conduct patient consultations

    • Calculate fees for treatment based on various fee schedules

    • Assist patients with financing options, insurance questions, and treatment concerns

    • Explain treatment financing, maximizing benefits

    • Educate patients concerning treatment, procedures, insurance benefits, pre-and post-treatment responsibilities, etc.

    • Monitor production and collection goals

    • Collect patient payments, post payments on Open Dental/Dentrix Ascend, and print receipts after the exam and consultation, or on the day of treatment

    • Complete consultation spreadsheet

    • Call recall patients to schedule appointments

    • Call broken appointments

    • Assist billers with posting diagnosis and treatment as needed and directed by management

    • Assist Front Office Assistant/ Receptionist as needed and directed by management

    • Answer telephones and schedule appointments as needed

    • Check-in/Check-out patients and prepare charts as needed

    • Verify patient benefits eligibility as needed

    • Assist the Office Manager, as requested, with printing, reviewing, and faxing collection report, day sheet, and summary reports

    • Assist the Office Manager, as requested, with collections reconciliation and deposit preparation at closing each day

    • Perform data entry as instructed

    • File patient charts as instructed

    • Attend and participate in staff meetings and team huddles

    • Comply with Federal and State legislation retaining to all billing-related matters.

    • Comply with all Safety, Emergency, Hazard, OSHA, HIPAA, Sterilization, Clinical, Quality Assurance, and Administrative Plans, Policies, Guidelines, Protocol, and Standards 

    • Other duties as assigned by the Office Manager and Regional Manager
