We are seeking an experienced, positive, detail-oriented, and professional legal administrative assistant to play an integral role on our team. You will be the right-hand man or woman to the firm owner and managing attorney. We work together to ensure our client's interests and needs are met with precision and professionalism and that the firm operates efficiently. No egos allowed. You should be able to assist in driving all projects from conception to completion, manage multiple calendars, take charge of office operations, and provide excellent customer service to firm clients, opposing counsel, and other professionals and external relationships. You should be able to work proactively and re-actively as an extension of the law firm and bring a results-oriented approach and streamlined execution to every project. Ideal candidates will have 5 or more years of experience in serving as a legal administrative assistant or law firm administrator. Responsibilities: Administrative Support • Provide administrative support to the firm owner, managing their schedule, appointments, and correspondence • Prepare and proofread legal documents, correspondence, and reports • Organize and maintain legal files and documents in both physical and electronic formats • Assist the firm owner in developing, documenting, and implementing firm policies, systems, and procedures and other firm projects Manage Client and Professional Relationships • Interact with clients professionally, addressing inquiries and providing updates as necessary • Interact with and assist the firm owner in managing referral sources and other professional relationships Communication and Coordination • Coordinate with firm team members, opposing counsel, and other external parties to ensure efficient workflows • Creating and updating contacts electronically as necessary • Act as a liaison between the firm owner and clients, as well as other legal professionals Recordkeeping and Billing • Creating, maintaining, archiving, scanning and retrieving client and firm files, and maintaining cloud drive • Intake and manage correspondence, client documents, and invoices • Assist in preparing invoices and billing statements for clients Qualifications: Educational Background: • Bachelor's degree, with a focus in Business Administration, Legal Studies, or a related field a plus Experience: • Proven experience as a legal administrative assistant or a similar role within a law firm, with direct interaction with senior-level professionals • Familiarity with legal terminology, law firm procedures, and documentation Skills: • Excellent organizational and multitasking abilities • Organized self-­starter who can work independently with little direct supervision • Strong attention to detail and accuracy in document preparation • Exceptional written and verbal communication skills Tech Savvy: • Proficient in MS Office Suite, Adobe, Clio, or similar law practice management software, Zoom, and other relevant software applications Professionalism: • Demonstrated ability to handle confidential information with discretion and tact • Strong interpersonal skills and the ability to work effectively in a team with professionalism and diplomacy • Ability, flexibility, and adaptability to manage multiple and ever-­changing project priorities and deadlines Compensation: $45,000 - $60,000 yearly
