    Job Description

    DEPARTMENT/PROGRAM SUMMARY: 

    The Strategic Partnerships department works to generate external funding from governments, international organizations, foundations, corporations and individual contributions to support GMF’s core programming. As such, the team works closely with GMF programs and global offices and the Finance and Communications departments leverage funding opportunities. The department is involved in prospect and partner research, relationship and donor management, and other activities that support the effective identification, cultivation, solicitation, and stewardship of external funders.

    JOB SUMMARY:

    The Partnerships Assistant supports the smooth operation of administration and systems functions within the Strategic Partnerships department. S/he is responsible for day-to-day administrative activities of the development staff, including gift processing and acknowledgements, database information management and transition, state registration filing, and responding to donor inquiries as required.

    S/he will additionally provide strategic support for GMF’s revenue development. This area of work will be focused on constituent research and coordinating and implementing engagement, cultivation, solicitation, and stewardship strategies with some direct interface with funders.

    As a key part of the Partnerships team, the incumbent will apply skills in research, writing, and database maintenance, as well as managing multiple priorities.

    ESSENTIAL DUTIES/RESPONSIBILITIES:

    STRATEGIC SUPPORT FOR FUNDRAISING

    • Conduct prospect research and analyses (identifying potential partnerships with governments, foundations, and corporates and providing assessment analyses on current partnerships);
    • Coordinate major engagement and stewardship efforts within the Partnerships team and GMF (including outreach with letters, publications, event invitations, and other news of interest to donors)
    • Coordinate departmental meetings and events with donors and partners.

    ADMINISTRATION

    • Ensure completed grant and pledge agreements are signed, filed, retained, and shared across departments according to the team’s responsibility
    • Conduct gift record entry and draft donor acknowledgment letters and correspondence, and coordinate with Partnerships staff for fulfillment.
    • Other administrative tasks as necessary to ensure that GMF achieves the highest professional standards in fundraising management.

    CRM TRANSITION AND ONGOING DATA MANAGEMENT

    • Support the development database transition processes from Raiser’s Edge to NetSuite and Dynamics, including monitoring the configuration from the Partnerships side, developing instructions for utilization for the Partnerships team, developing and conducting fundraising-specific training for the Partnerships staff, and data review and clean up;
    • Maintain the department’s data entry instructions, manuals, policies, and procedures;
    • Regularly create donor database query that facilitate segmented donor solicitations;

    QUALIFICATIONS AND REQUIREMENTS

    • Proficiency in MS Office Suite and database management experience required.
    • Confidentiality, accuracy and professional attitude required.
    • Ability to work well under deadlines.
    • Highly organized with excellent attention to detail.
    • Strong problem solving and organizational skills.
    • Able to prioritize and manage multiple tasks and meet deadlines.
    • Fluency in English required.
    • Excellent interpersonal skills and constructive team player.

      EDUCATION:

    • Bachelor’s degree required
