ASSIGNED SHIFT: Shift is normally an 8 hour shift 8:00 AM to 4:30 PM but could be more or less and hours could be changed depending on the needs of The Glen. (Assignment may vary)
ESSENTIAL FUNCTIONS: Assists the Director of Assisted Living with administrative, financial and recordkeeping functions for The Stiles Apartments. Responsible for maintaining census development of the community by working with families to accommodate the needs of current and prospective residents. Responsible for responding to and follow-up on all inquiries and admission process; in the processing of any resident/family concerns, quality assurance of services offered and marketing Stiles Apartment services. May function as Assistant Director of Stiles ARC in absence of Director. Supervises Housekeeping Department.
QUALIFICATIONS/REQUIREMENTS:
People-oriented, good communication skills, and ability to work with a diverse group of people
Sales experience desired
Minimum 2 years LTC or AL experience desirable
Well organized and self-motivated
Computer skills, including Word, spreadsheets, email and database applications
Able to fulfill job requirements in a high-energy, high-traffic area
Able to operate a motor vehicle & has valid LA driver’s license
ADDITIONAL JOB FUNCTIONS:
Responsible for touring and guiding prospective residents through the decision-making process along with mailing of marketing materials as assigned.
Responsible for maintaining the inquiry/wait list on Customer Relationship Management software.
Responsible for lead generating activities to ensure adequate leads are produced in order to meet performance expectations.
Assist Marketing Department with external and internal community events that promotes programs and services to target demographic as assigned.
Develop relationships with qualified referral sources
Maintains administrative files on residents ensuring that information is accurate and complete at all times.
Prepares orientation packet and orients new residents, including tour of facility, welcome gifts, and daily contact until they are acclimated.
On-going interaction with residents – sending birthday cards, get well cards, sympathy cards, etc., maintaining close contact during resident hospitalizations, attending funerals.
Responsible for distribution of residents’ transfer/discharge notices as they occur.
Documents important resident information, such as Exception Reports & Incident/Accident Reports and submits to Director.
Assists residents/Responsible Party in obtaining third party services as needed.
Orients and registers private caregivers. Scheduling required sitter testing with Human Resources Department.
Coordinates with Maintenance Director to ensure apartments are prepared and make ready is completed for occupancy.
Responsible for requesting keys for staff members and family members.
Routinely as required to be present at meal service in dining room.
Assist Administrative Assistant with census (admissions and discharges) of residents in clinical software program and assisting accounting department in preparation of billing statements.
Assist Administrative Assistant as assigned with ensuring residents apartment services are installed prior to move in. (Cable television).
Assist Administrative Assistant with assembling and maintaining residents’ administrative files ensuring information is accurate and complete at all times.
Assist Administrative Assistant as assigned with work orders in software program.
Responsible for preparation of new hire employee packets and completion of Department Head section of orientation checklist.
Assist Administrative Assistant as assigned with employee recorded time into time clock system and supporting documents.
Assist Administrative Assistant as assigned with resident transportation & may transport resident to medical appointments.
Assist with credit card reconciliation as assigned.
Assist with Petty Cash and monthly reconciliation as assigned.
Assist Administrative Assistant as assigned with Guest Apartment reservations and make ready for guest.
Prepares and submits appropriate reports to Assisted Living Key Staff meetings.
Other related projects, duties and responsibilities may be assigned as deemed necessary.
SUPERVISORY RESPONSIBILITIES:
Supervises housekeeping department
Functions in Director capacity in absent of Director
Must work flexible hours and shifts as required
Performance reviews, disciplinary actions for supervised personnel
PHYSICAL DEMANDS:
Able to physically fulfill all job requirements
Extended periods of standing, walking and sitting
Lifting/carrying up to 50 pounds, pushing, pulling up to 90 pounds
Lifting, pushing wheelchairs and/or transporting residents in wheelchairs
Support assistance to enable residents to ambulate safely from one point to another
Assisting residents in and out of vehicles
Full range of mobility and motion
Finger and hand dexterity to operate small equipment
