    Can be hybrid / 4 days in, 1 day home The Company The firm is a disruptive and innovative FinTech-powered series of companies that is disrupting the buy-side brokerage industry with highly technical and tailored analytical tools and services and digitally automated back-office functions. The Group has offices in New York, London and Tallinn, and opening soon in Copenhagen. Position Summary The EA & Office Manager position is a newly created position to be based in NYC. The hybrid role would be to support the Group COO & CFO, who is based in New York City, and a Senior MD, based on Toronto, but who travels to US frequently. Additionally, you would act as the Office Manager for the rapidly growing New York office (current staff of ~15). What you'll do - Traditional EA support to two C-level individuals, including: · Schedule meetings and appointments, coordinating with all necessary parties and gathering all requested materials ahead of meetings · Optional depending on interest and competence: taking minutes in governance meetings of Firm (Board of directors and sub-committees) · Get involved with marketing materials and client events (roundtable lunches and dinners etc) and have some client interaction · Assist in the preparation of regularly scheduled reports · Maintain a (mostly digital) filing system · Book travel arrangements and submit expense report - New York Office Manager role: · Act as the primary liaison for office management, procuring office and kitchen supplies and interacting with the building management, outsourced IT providers and the Group support functions, including Head of HR in London and the Operations team in Estonia · Other administrative support to ensure the efficient operation of the NY office · Produce and distribute internal HR and compliance correspondence to NY staff and follow up with staff Who you are / What you bring - Bachelors or similar degree to evidence strong academic achievement - Team-oriented people-person that is a self-starter and takes the initiative to solve problems, with extreme attention to detail - Excellent verbal and written communication skills - Reliable and able to take responsibility and act with autonomy - Comfortable working in a multi-faceted role within a fast-paced environment - Confident extravert that is comfortable dealing with very senior people, both internally and externally, in an engaging yet polished and professional manner, serving as an ambassador for the culture and branding of the Prism Group Benefits - Firm is big enough to be an agent of disruption in the industry but small enough that everyone working here matters - Offices in London (HQ), New York City and Tallinn, and opening soon in Copenhagen with an inherently diverse culture with 16 different nationalities - Dynamic and high performance culture, full of individuals who are experts in their fields - Flat hierarchical structure with significant growth potential - Competitive salary and benefits - Flexible working policy with freedom to work from home on Fridays - Great coffee, healthy snacks and drinks all day long
