    Looking for an exceptional Executive Assistant specializing in Transaction Coordination to enhance our client experience. Our team is committed to providing outstanding service, and the transaction coordinator plays a crucial role in achieving this goal. We need someone who can prioritize tasks effectively, maintain high quality standards, and handle multiple responsibilities with grace. Adaptability, problem-solving skills, and the ability to switch gears swiftly are key qualities for success in this position. You will be responsible for managing the contract-to-close process for 30-50+ transactions simultaneously, ensuring smooth and timely closings for our clients and partners. Providing top-notch client service is essential, as a significant portion of your day will involve interacting with clients, attorneys, lenders, and agents. This role is central to our operations and requires you to work from our Libertyville office. There may be occasions when you need to work on weekends and take after-hours calls. Compensation: • Base Salary: $50,000 - $60,000 • Bonus Potential • Opportunities for Growth • Paid Time Off • Health Stipend Responsibilities: • Track transaction milestones and ensure timely submission of all necessary documents for office broker compliance. • Manage all administrative tasks related to home buyer and seller transactions from executed purchase agreement to close. • Serve as a liaison between real estate agents, clients, attorneys, escrow companies, and lenders, managing administrative tasks throughout the transaction. • Oversee post-closing systems and maintain communication with past clients. • Keep lead agents informed of any issues requiring attention. • Assist with project implementation as requested by agents. • Provide consultation and exceptional customer service to clients. • Manage vendor relationships. • Support team and office logistics. • Ensure deadlines are met by following up with multiple parties. • Maintain meticulous records and files for all transactions. • Summarize important terms, conditions, and contingency dates from contract and listing paperwork. • Communicate regularly with clients to provide reminders and updates throughout the closing process. • Act as the primary resource for all questions during closing. • Delegate tasks and projects to virtual assistants. • Proactively seek opportunities for performance improvement through coaching and feedback from leadership. Qualifications: • Previous real estate industry experience is required. • Real estate license is advantageous. • Excellent written and verbal communication skills. • Exceptional organizational and project management abilities. • A learning-based approach to work. • Strong consultation and customer service skills. • Service-oriented attitude. • Tech-savvy with the ability to adapt to new systems quickly. • Effective multitasking and prioritization skills. • Exceptional critical thinking abilities. • Comfortable working independently at a fast pace. • Detail-oriented with a passion for completing tasks. • Ability to handle diverse personalities. • Enthusiasm for to-do lists and thoroughness. • A can-do attitude and willingness to support the team wherever needed. • Fast learner with an aptitude for abstract concepts and adaptability to changing priorities. • Familiarity with Brivity, Dotloop, and KW Command is preferred but not required. • Bilingualism is a plus. • Proficiency with computers is essential in our digital business environment.
