    Job Description

    RESPONSIBILITIES:

    • Admin tasks. Example tasks below:

      • compiling monthly spend report
      • pulling files and folders out for the business and sending across to them
      • naming files in Records Management convention style
      • sending and receiving monthly supplier metrics from RMs
      • pulling together vendor onboarding and exit paperwork
      • refer to structure chart to locate individuals internally
      • SoftCo basic user able to load POs after obtaining information from the RM and look up specific old invoice
    • Critical thinker/ problem solver. Business etiquette. Examples below:

    • able to use Outlook, Excel, Cisco and Jabber. Excel formulas of %, additional, multiplication, addition, subtraction, charts and grasps, pivot table, applying filters, V and H lookups

    • set up a meeting with location, detail in details, agenda, minutes and actions etc.

    • heavy use of phone calls to vendors and RMs and not just emails for everything.

    • understand what is important to get in writing via email (for the audit trail) vs what can be done on the phone

    • confidence to chase all levels of seniority for approvals, a response etc

     

    QUALIFICATIONS:

    • At least one year Office Experience
    • 1-3 years experience with Microsoft Office Software (Word, Excel, Outlook).
    • Accounts Payable Experience wanted but not required
    • Good with mathematics and detailed oriented
    • Strong work ethic; diplomatic; team and service oriented; builds strong working relationships.
    • Exhibits superior verbal communication and phone skills.
    • Exhibits exceptional customer service skills.
    • Consistently demonstrates professional demeanor, appearance and attitude.
    • Proven ability to remain calm under pressure; resilient.
    • Sound judgment and problem-solving ability.
    • Able to appropriately handle confidential and highly sensitive material.
    • Demonstrated ability to be flexible and adapt to an ever-changing work environment.
    • Assertive and resourceful; motivated; willing to ask questions and take initiative without direction.
