    Job Description

    The Mission and Position

     

    The Mission of this colleague is to ensure the long-term success of the enterprise through support of the logistical and forward warehousing related activities resulting in a smooth and economical flow of product, providing impeccable service resulting in accurate and timely shipments of product, processing of invoices, as well as the tracking, reporting and coordination of business unit stepping-stones that result in overall excellent customer satisfaction.

     

    The specialty ingredient business units’ Mission is to be a full service tomato ingredient supplier providing unequivocally superior services and supply-chain solution to specialty, and geographically unique customers. The selected colleague will need to work in conjunction with sales, marketing, and customer service as well as be able to work effectively independently.

     

     

    Specific Activities

     

    1. Forward Warehouse Management

      1. Maintain inventories in forward warehouses

        1. Work with Sales colleagues in understanding individual customers projected movement through relevant forward warehouses
      2. Coordinate transfers to the forward warehouses

        1. Calculate needed volume and enter into Marketing.
        2. Coordinate with Logistics for any transfers via BNSF
        3. Generate the paperwork for the transfer to send to the warehouse
        4. Inbound orders in Marketing once the transfer arrives.
      3. Generate paperwork for shipments out of the warehouses

        1. Upload container information into marketing, generating BOL & COA then send to the warehouse or customer
        2. Once shipped, send to Industrial or MSTK Customer Service colleagues for processing
      4. Manage warehouse relationships

      5. Reconcile inventories on a monthly basis

        1. Compare each warehouses WMS overall container count against our own, correcting any issues.
      6. Perform detailed inventory audits bi-annually

        1. Compare each container ID in every warehouses WMS against our own, correcting any issues.
      7. Resolve any damage or inventory related issues

        1. Coordinate the transfer of empty drums for damages
        2. Show drums as destroyed in marketing as needed.
        3. File claim in Industrial complaint system.
        4. Request corrective actions as needed.
        5. Coordinate container disposal as needed.
        6. Approved disposal related bills.
      8. Approve warehouse related invoices

        1. Ensure billing accuracy in all lines at all warehouses
    2. Logistical Coordination

      1. Establish and maintain relationships with providers in warehouse regions
      2. Request rates and arrange freight out of forward warehouse locations, when necessary
      3. Approve MSTK freight related invoices.
    3. Customer Service

      1. Receiving, entering and tracking customer orders.

        1. Contract entry

          1. Line items with pricing
          2. AR Breakouts
          3. Ship to locations per item
        2. Order entry

        3. Invoicing

      2. Traffic coordination for customer accounts.

        1. Work with warehouses directly
        2. Work with warehouses through Luis (Warehouse Coordinator)
        3. Set up shipments and follow through to delivery
      3. Respond to and resolve difficult and time sensitive inquiries and complaints.

        1. Claims
        2. Questionnaires
      4. Follow and reconcile customer contract commitments on a regular basis to ensure compliance with agreed upon shipping periods.

      5. Ensure product is allocated accurately

      6. Communicate with sales, distribution and accounting colleagues as well as customers on orders then follow up as needed.

      7. Compile, maintain, process and prepare a variety of records and reports.

     

  • Qualifications

    Qualifications

    Educational and Experience Requirements:

    1. Knowledge of general logistics and warehouse processes with specific experience in warehouse management is preferred.
    2. The ideal candidate will likely have an understanding of the processed tomato industry, adapt to change quickly and work well under pressure.
    3. Methods and techniques for conflict resolution
    4. Proficiency with Microsoft office suites, specifically Excel
    5. Effective communication, oral and written, is a must.
    6. Effective time management.
