MLG is seeking a detail-oriented self-starter who can take direction and move seamlessly from one task to another. From our new offices in San Marcos, you’ll be assisting our President and SVP of Operations with helping grow and run our company like a well oiled machine.

A qualified candidate is required to be intelligent, adaptable, a quick learner, with great communication skills (written and spoken) as well as positive outlook. This role’s responsibilities include:
- Assisting the President and SVP of Operations with general administrative support
- Handling basic bookkeeping tasks. Responsible for invoicing and coordinating with departments all work orders. Assisting with and mailing out monthly invoices.
- Sending electronic proposals to new clients.
- Coordinate AZ Responsible Individual program. Working with RI's on updating new clients, bi-monthly meetings, welcome letters to new clients, updating AZ Procedure manuals and sending to new clients.
- Light human resource duties and record keeping to include coordination with PEO and Insurance provider. Communicating with staff any updates or changes to company benefits. Coordinating open enrollment.
- Coordinating team building and team morale events such as the annual holiday party, company picnic, employee birthday parties, etc.
- Performing office duties that include ordering supplies and managing a records database.
- Filing and retrieving corporate records, documents, and reports
- Preparing financial statements, reports, memos, invoices letters, and other documents.
- Answering phones and routing calls to the correct person or taking messages.
- Researching and conducting data to prepare documents for review and presentation committees and staff meetings.
- Accurately record minutes from meetings.
- Greeting visitors and deciding if they should be able to meet with executives.
- Using various software, including QuickBooks, word processing, spreadsheets, databases, and presentation software.
- Reading and analyzing incoming memos, submissions, and distributing them as needed.
- Making travel arrangements as needed.
- Opening, sorting and distributing incoming emails and other correspondence.
- Scheduling and coordinating staff and management meetings.
- Occasional errands and obtaining stamps or money orders.
- Any other responsibilities as directed by management
- If you are good at taking direction while embracing your creative side, and enjoy regular work hours (7:30 to 4:00, Monday-Friday), you might be a great fit for MLG!
Qualifications:
- High ethical standards, discretion, confidentiality and thoroughness in work product
- QuickBooks - invoicing and posting
- Strong computer skills and proficiency in Microsoft Excel, Word, Outlook and PowerPoint a must. Smartsheet a plus.
- Solid organization skills
- Ability to follow direction and act calm under pressure
- Ability to multi-task and meet deadlines
- Must have own transportation
- Experience in the industry is a plus
