    The HR Coordinator/Office Manager serves as an integral member of the Human Resources team. In addition to handling administration of day-to-day front office administration, you will assist with a focus on recruitment, onboarding, and the employee experience. Duties include maintaining employee records, coordinating interviews, and training sessions, and supporting the development of HR initiatives and programs. Additionally, you will handle administrative tasks, office logistics, and serve as a point of contact for general office support.

    This is a hybrid role based in our corporate office in Charleston, SC.

    Essential Duties and Responsibilities

    • Performs customer service functions by answering main line telephones; directs the caller to the appropriate department/associate
    • Supports Employee Support Center department with client employee questions including employee portal registration, employee onboarding, and troubleshooting, in accordance with established service levels
    • Maintains the accuracy and security of all HR-related files in accordance with the records retention standards including employee personnel files, medical files, and I-9’s
    • Monitors customer inquiries and provides quality-assured assistance, escalating issues when needed to ensure best in class customer service.
    • Receives, sorts, and scans incoming mail for all departments. Maintains and routes publications
    • Assists with outgoing mail including expediting time sensitive documents, creating, and sending return labels for internal termination equipment, and bulk mailing projects as necessary
    • Responsible for ordering, receiving, stocking, and distributing office supplies
    • Orders, tracks, and ensures compliance with labor law posters for internal and external client partners
    • Assists with preparing Standard Operating Procedures, and other internal procedures as assigned
    • Supports internal HR with recruitment activities, screening candidates; scheduling interviews, and tracking status of candidates
    • Assists HR Generalists with coordinating employee onboarding and off-boarding processes, ensuring all required steps are taken
    • Coordinates team functions including employee recognition, service awards, safety, and holiday-related events
    • Assists in organizing presentation materials, coordinating meetings, and catering arrangements, as required
    • Assists in the execution of HR initiatives and strategies that enhance the employee and client experience
    • Perform office management and clerical functions as defined by the Director of Human Resources
    • Any other various duties, non-recurring tasks, and projects as assigned

    Minimum Qualifications (Knowledge, Skills, and Abilities)

    • 3+ years of general administrative human resources experience
    • Willing to prepare for and earn relevant HR certifications
    • Experience with HRIS is a plus (HR Pyramid, Prism, Workday, etc.)
    • Demonstrates a high level of diplomacy, tact, and judgment, coupled with a positive and upbeat attitude
    • Capable of identifying and addressing issues and managing confidential information professionally and efficiently
    • Exceptional organizational abilities, with a strong focus on accuracy and attention to detail in written and verbal communications
    • Ability to perform detail-oriented tasks, interact, coordinate, follow up, and effectively communicate with other team members, regional teams, Senior Management, and Third-Party Administrators
    • Quick learner with the ability to adapt to new skills rapidly, work well under pressure, effectively solve problems, and manage multiple priorities.
    • Proactive and self-motivated, able to work collaboratively in a team setting to resolve issues and meet deadlines professionally.
    • Exceptional Client/Customer Service skills
    • Ability to work and communicate with high-level executives
    • Self-starter and independent worker with the ability to be creative and resourceful

    What will set you apart

    • A college degree in Human Resources or a related field is highly preferred, with PHR certification strongly recommended
    • Microsoft Office Suite, intermediate or greater proficiency
    • Bi-lingual a plus, but not essential
