Our client, a top performing wealth management practice in the Indianapolis area is looking to hire an Investment Operations Specialist. This role will be responsible for a wide variety of the financial planning and investment management services we provide for our clients.
The career path will start out first getting acquainted with, being responsible for and executing many client service processes. This would include paperwork, work-flow, client onboarding and handling certain client inquiries.
Depending on acclimation period, performance and prior experience, the specialist will develop into a director of investment operations role where they will have more ownership over investment functions, more guidance based conversations with clients and input on investment strategy, plan construction and portfolio design.
In collaboration with our Wealth Management Advisor and other team members, this individual will focus on managing investment services including: managing investment operations workflow, developing and implementing asset allocation strategies, executing trades, analyzing investments, monitoring holdings and processing asset transfers. This role will also assist with corresponding with clients to handle investment service questions and preparing reports for client and prospect meetings.
Support
Investment Account Responsibilities:
Prepare and process all paperwork needed for investment accounts
Monitor, process and follow up on asset transfers and on initial and subsequent funding of investment accounts
Execute trades for tax loss harvesting, rebalancing, and other account service reasons
Process proposal amendments, monitor alerts, and annual reviews in Envestnet
Follow up on trade rejects and resolve all trade-related issues
Monitor holdings for program eligibility and administer advisory accounts
Presentation and Client Reviews:
Investment audit – investment account data input and analysis for new prospects
Prepare investment review meeting information, notes, and reports
Meet with clients to complete investment paperwork, answer questions, and go through statements/reports
Client Service:
Correspond with clients to handle investment service issues and questions
Perform cashiering functions
Run performance reports in Envestnet, Morningstar, etc.
Accept redemptions/withdrawals from clients and communicating instructions to home office
Maintain efficient system for account follow-ups and service requirements
Maintain CRM with appropriate client, task, note and compliance information to be accessed and understood by all team members
Understand and answer technical questions about client’s investment accounts
Explain products or performance to clients on all investment platforms
Effectively discuss fees, tax consequences, strategies, etc. to clients
(phase two) Director Responsibilities:
Direct workflow of the investment operations team through case preparation, task reassignment, project management, and client service questions delegation
Maintain investment reports and functions as requested (i.e. monthly excess cash report)
Serve as first escalation point of investment operations service requests
Help with training and onboarding of all current and future investment operations team members
Participate and have ownership in various team projects specifically those involving investment operations
Team Responsibilities:
Actively participate in all meetings conducted by the team to positively impact the culture, productivity and expertise of the team
Track investment production and data as needed for team goals, awards, etc.
Maintain and ensure compliance through all actions taken throughout your role
Monitor team licensing for investments
Additional duties and responsibilities as assigned
Qualifications
FINRA Series 7 and series 63 license
Indiana Life and Health Insurance License (preferred or obtainable within 6 months on the job)
2-4 years of experience in the financial planning industry specifically with experience in investment operations including trading experience, ability to process personal securities transactions, and client communication experience required
Passionate and highly motivated self-starter
Excellent oral and written communication skills
Strong critical thinking, financial analysis and problem-solving skills required
Ability to manage multiple diverse projects and assignments in a timely and quality manner
Strong attention to detail with the ability to work with a high degree of accuracy
Demonstrated ability to maintain effective working relationships with clients
Ability to embrace change and work in a fast-paced environment
Able to work both independently and in a team
Ability to maintain confidentiality
Ability to proactively identify what needs to be accomplished and take action as appropriate
Has interest in learning on a continuous basis
