    GENERAL SUMMARY:

    The Accounting Assistant position performs the day to day Accounts Payable clerical duties to ensure that the department is run efficiently. This includes copying, scanning, filing and assisting with any ad hoc projects.

    PRINCIPAL DUTIES AND RESPONSIBILITIES:

    Routes Invoices: Sort and scans invoices in the “to be routed box” and saves invoices to the server; distributes invoice through email to the appropriate department or person for approval; submits approved invoices to AP for payment.

    Performs Vendor Maintenance: Requests W-9’s, establishes and maintains vendor information, payment terms and 1099 status. Enters vendor bank information for EFT payments.

    Pcard Administrator: Performs routine duties including password resets, requests approval for credit limit increases, researches declines, and reconciles cardholder statements with receipts.

    Prepares Bank Deposits: Prepares and codes bank deposits; makes routine trips to the bank to make deposits.

    Performs General Accounting Duties: Performs routine clerical duties includes filing, copying and scanning invoices. Forwards invoices to managers for approval, organizes the shipment of excess records to off-site storage and pulls supporting documentation for audits, P&L questions or general research.

    QUALIFICATIONS:

    • Must have knowledge of general computer systems including Microsoft Office (Word, Excel)
