    Job Description

    CORPS/DEPARTMENT:  Development Department     

    REPORTS TO:                 Divisional Director of Development

    FLSA STATUS:             Non exempt, Full Time            

     

    This is a full time, non-exempt, hourly position paying $16-20/hour DOE with vacation and sick time as well as medical, dental, and optional insurance coverages.

     

    GENERAL POSITION DESCRIPTION:

    Under the direction of the Divisional Director of Development the Administrative Assistant for the Donor Relations discipline will provide general office and administrative support to the Donor Relations Directors (DRD’s) in the Intermountain Division.  This position plays a critical role to the fundraising effort of the Intermountain Division through donor communication and interface.

     

    EDUCATION AND WORK EXPERIENCE:

    High school diploma required, some college course work preferred. At least three years administration experience in a general office setting.   

      

    KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

Ability to follow instructions and offer constructive suggestions for improvement. Good judgment and common sense. Must demonstrate high level of accuracy and attention to detail.     SOFTWARE-RELATED SKILLS:

    General office experience with a working knowledge of Word, Excel, PowerPoint, and Outlook. Working knowledge of integrated database applications and ability to use new software with basic training, including portfolio, egistics, wealth engine & others.

     

    ESSENTIAL FUNCTIONS:

    1. MAJOR GIVING DISCIPLINE
      1. Enter donor information into portfolio for each DRD.

        1. Includes scanning documents and attaching to donor files.
        2. Assisting with entering communication notes as requested by DRD’s.
      2. Prepare and distribute William Booth Society letters and certificates as needed.

        1. Provide support to the Special Events Manager in the production of the William Booth Society annual reception.
      3. Manage all DRD donor hard and electronic copy files in an organized and confidential manner.

      4. Run standardized Portfolio reports as requested by DRD’s.

      5. Coordinate special mailing efforts as communicated through the 12 month cultivation plan.

      6. General letter writing – Thank you’s, acknowledgments, etc.

      7. Maintain spreadsheets for designated donor gifts, stock gifts, and others as needed.

      8. Submit expense, motor vehicle & others through Finance procedures.

        1. Coordinate with the Development Associate – DM for the processing of Child Care Contribution and Enterprise Zone letters and forms for DRD case load donors.
      9. Answer and transfer phone calls to DRD’s as needed.

      10. Conduct Portfolio donor research as needed.

      11. General office support

        1. DRD expense report preparation.
        2. Maintain office supplies, maintain copier, several trouble shooting issues.
    • Create donor meeting presentation materials.
    1. Assist other development disciplines as needed.

    2. Take notes at all relevant meetings.

    3. Maintain and operate folding machine for mailings.

    4. CHRISTMAS – SEASONAL

      1. Other duties as assigned.
      2. Christmas CD purchase and distribution.
      3. Holiday cards – coordinate Thanksgiving & Christmas CD mailing.

     

    PHYSICAL REQUIREMENTS:

    The position is primarily sedentary with frequent sitting and requires the ability to remain at a keyboard for periods of up to two hours with minimal interruption.  Ability to operate a keyboard essential.  Ability to sit, walk, stand, bend, squat, climb, kneel and twist on an intermittent or continuous basis.  Ability to grasp, push, pull, and reach overhead.  Ability to operate telephone. Ability to lift up to 25 pounds.  Ability to access and produce information from a computer, Ability to understand written information.
