    We have an excellent opportunity for a Staffing coordinator with a global digital agency in Irvine, CA.  Here is what the team is looking for:

    As a Staffing Coordinator, you will be responsible for supporting staffing requests and support duties to the local staffing team. The SC is expected to apply previous staffing/PM experience and judgment to operate independently and quickly learn to operate at full capacity in the position.

    The SC performs a variety of staffing duties under the direction of the local Staffing lead Specialist, including but not limited to:

    • Providing administrative support to the Staffing Team across all domains (Client Services, PM, Creative, Strategy, Business Consulting & Technology) • Reporting support for multiple programs via internal systems (timesheet management, dashboard creation, utilization reports & analysis) • Manage Creative requests & support Creative leads with project resource needs, forecasting, and allocation of team members • Manage availability of team members & own communication to NA Staffing partners • Onboarding for new hires and contractors • Deliver high quality staffing solutions promptly • Effectively balance multiple high-priority assignments • Effectively pool and utilize resources from multiple offices • Build strong partnership/network relationships across the business to provide the highest levels of customer service • Initiates staffing requests for both full time and contracting resources • Collaborate with discipline leads to ensure target utilization of regions and offer career development opportunities • Contribute to reporting for utilization trends and forecasts • Maintain and provide information to Capacity Partner about current projects, pipeline and resource forecast • Effectively facilitate the administrative activities of the Staffing Operations team including employee maintenance such as time off updates, training and professional development, and promoting a positive working environment • Ensures proper personnel status notifications are relayed to project and functional managers through the approved protocols • Communicate job status information to all team members on a daily basis • Promote smooth workflow and communication between departments • Analyzes and communicates availability levels for all departments • Ensure workflow progresses efficiently and projects/staff are juggled as priorities shift • Run weekly staffing meetings • Assists staff members with career development by coordinating individual development plans, coaching and mentoring • Understand capabilities (skill sets) and interests of resources and factor into staffing decisions

    Education and/or Experience • BA/BS • Experience as a staffing manager in a consulting or agency environment with rapidly changing project needs • Knowledge of interactive marketing projects and staffing requirements (creative, user experience, media, technology, strategy, project management) • Detail oriented working style • Superior organization and multi-tasking skills • Service oriented attitude (flexible, personable, approachable) • Strong communication, negotiation and leadership skills • Ability to prioritize workload and delegate to other operations team members • Ability to provide and receive feedback in a constructive manner • Absolute professionalism and confidentiality • Strong business focus
