    Job Summary

    The HR Intern is responsible for learning our Applicant Tracking System (CareerPlug), and ADP for processing employee data, such as hiring and other employee changes. The HR Intern will provide overall support to the HR Team by assisting in maintaining efficient day-to-day operations of the HR office. The HR Intern will effectively collaborate with company managers and employees to complete additional tasks assigned based on the department’s needs. The HR Intern is required to adhere to the mission and values of The Widewaters Group Inc.

    Essential Functions of the Job

    Administrative

    Assist in the maintenance of the Associate Master Data File to ensure 100% system accuracy.

    Completes data entry in HRIS (ADP) for all New Hires, Status Changes, Transfers, Pay Rate Changes and Separations for hotel properties and corporate entities.

    Enters payroll changes to include Direct Deposit Forms, Tax Forms, Address Changes, etc.

    Collects and distributes Department mail.

    Prepares Fed Ex packages for Department.

    Completes Department Filing into electronic storage system.

    Answers and directs phone calls.

    Compliance

    When needed, executes pre-employment background checks for all new hires per company policy & procedure.

    Reviews I-9’s and verifies E-verify has been completed for all new hires.

    Learns how to maintain employee files in electronic storage database.

    Assists in the processing and tracking of pre-employment testing, including drug testing if applicable.

    Records training certifications and performance review scores as necessary in ADP database.

    Processes employment verifications as received.

    Talent Acquisition Support

    Assists hiring managers with troubleshooting of the ATS platform.

    Manages active hiring manager user logins and system access to appropriate access to Career Plug applicant tracking system.

    Enhance user experience by providing feedback and suggestions to Talent Acquisition Director.

    Helps hiring managers properly utilize system across all levels and entities by auditing ATS usage by hiring manager, retraining provided as needed.

    Supports the recruitment process by posting select critical need positions to third party websites such as Handshake, Craigslist, and Indeed.

    HR Enhancement

    Provides feedback to HR department on Internship experience and offers recommendations for future interns.

    Assists with research and implementing changes in operation standards, including written procedures.

    Attends departmental HR meetings and assist with meeting minutes.

    Other

    Must demonstrate the highest level of professionalism, confidentiality, integrity, and respect with candidates, team and business partners.

    Assist as needed in other HR related areas as needed.

    Assists others as needed with special projects.

    Must have a positive attitude at all times.

    Authority and Supervisory Qualifications:

    This position reports to the Director of Total Rewards and serves at the discretion of the CPO or delegate. The position carries out responsibilities in line with the established policies and statutes in consultation with the Director of Total Rewards and the CPO. Responsible for the learning and assisting in the coordination new hire and employee administrative daily functions.

    Qualifications:

    Attending an accredited College and is working towards a bachelor’s degree. Ideal candidate must have a career interest in Human Resources.
