M365 Records Management and Information Governance Consultant (remote)
Job Description
Put your business, technology and analysis skill sets to work as a member of an Information Governance (IG) Strategy Consulting Group by working with key business stakeholders, and IT staff to support enterprise content and records management strategy and implementation roadmap projects.
RESPONSIBILITIES: Consult with clients to DESIGN AND IMPLEMENT RECORDS MANAGEMENT AND INFORMATION GOVERNANCE programs and best practices. Evaluating existing policies, defining an organization’s current state (including maturity assessments), and developing remedies for problems in the form of specific program recommendations and a multi-year program roadmap. Design, document, and implement records management and information governance best practices.
As the information analyst, you will communicate and engage with business units to develop a strong understanding of their business process, unstructured content management, and information governance needs. You will work with various teams to define requirements for enterprise programs related to document and records management that addresses the full life cycle from capture to disposition and preservation. Tasks will include conducting assessment interviews with business representatives, identifying content dependencies and relationships to develop logical and physical content models, create data flow and system activity diagrams, and write specifications for managing enterprise information.
You will develop plans and materials to support user adoption, training, and customer service, working through direct and regular contact with users from regions, programs, and service units to provide regular insight and guidance in prioritizing enhancements that form the implementation roadmap for enterprise information governance programs. You will also support technical project managers to ensure that all aspects of the information analysis and requirements gathering process are completed with the highest degree of accuracy and quality, which includes developing and socializing key project artifacts.
Additionally, you will:
Serve as a subject matter expert (SME) for developing taxonomy elements – standard business folders, metadata, permission, and confidential information models, standards for MS Teams and SharePoint environments, and application of ECRM and IG best practices.
Review and enhance records management related policies and procedures including providing guidance related to email and social media content.
Support unobtrusive automated records management by applying best practices to software standardization and approaches to records retention and disposition management.
Develop implementation and rollout plans for enterprise content and records management programs that incorporate information governance and change management to support high user participation, which involves training end users and helping secure the ongoing buy-in and use of the system.
Develop key deliverables including Current State Findings, Recommendations, Strategic Implementation Plans, and Software Evaluations.
Support a broad base of users for ECRM and IG assessments, ensuring relationships with customers and cross-team members are professional and meet management expectations.
Develop artifacts to support software selection activities including RFIs and RFPs, requirements matrices, demo scripts, etc.; and guide software vendor evaluations and selections using a variety of technical and analytical skills.
Be a subject matter expert capable of preparing presentations for trade shows and authoring articles for industry related trade publications.
Implement recommendations in Enterprise Content Management Systems
Qualifications
Bachelor’s degree (doesn’t have to be in related field of study)
Knowledge of records management and information governance life cycle as well as other statutory and ethics issues.
2 + years’ experience consulting to clients on ECRM/IG assessment, strategy development, and implementation planning.
Demonstrated experience configuring ECRM solutions such as OpenText, Laserfiche, Hyland Onbase, M-Files, etc.
Experience applying information governance in a O365/M365/SharePoint environment including experience with M365/O365 components such as Power Automate, Flow, MS Teams, Graph, etc.
Experience developing records management policies and retention schedules.
Knowledge of electronic records management and document management systems.
Experience performing business analysis, records management, or information technology related tasks
Demonstrated ability to complete projects on time and on budget.
Ability to understand business needs and translate them into technical specifications.
Strong verbal and written skills.
Experience in process analysis and documentation.
