    Summary

    The Project Coordinator will be responsible for coordinating and managing the entire project from startup to closeout, including but not limited to: quoting, scheduling, project coordination, billing, submittal documents, and project close-out documents.  The Project Coordinator will be the primary administrative support between our Project Managers, vendors and our customers through the entire project process from quote request through completion.  In addition the Project Coordinator will support office staff in organization and management of billing and order processing.

    • Vendor Interaction
      • Enter payables into the Solar Eclipse and Job Management systems
      • Review vendor invoices to ensure they match IES Purchase Order amounts and work with project managers to decide appropriate payment schedule
      • Review and update vendor information in the Solar Eclipse system
      • Manage Payable Aging and field inquiries from vendor receivable departments
    • Customer Interaction
      • Create customer invoices in the Solar Eclipse and Job Management systems
      • Review customer billing information against Customer Purchase order amounts and product descriptions
      • Work with project managers to ensure correct and timely billing
      • Create new customers, jobs, and purchase orders for new projects
      • Discuss payment status and terms with customers to ensure timely payments are received
    • Corporate Interaction
      • Work with the IES credit department to manage receivables and timeliness of the construction lien process
      • Review internal costing summaries against job budgets and provide customer and job summaries
      • Prepare monthly financial statements and review billing and commission data

    Supervisory Responsibility, work environment and physical demands

    • This position has no supervisory responsibility.
    • This position works in a normal office environment, with standard office equipment. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by noise, dust, etc. 
    • Work is generally sedentary in nature, but may require standing and walking for up to 15% of the time.

    Required Skills

    Through previous background and experience, the candidate must be able to demonstrate, with or without an accommodation:

    • Proven ability to start and complete tasks and be detail oriented.
    • Possess in depth knowledge of IES computer systems, Microsoft Office, etc.

    Required Experience

    • Associate's degree (A. A.) and two to four years related experience and training; or equivalent combination of education and experience.
    • Experience in the Electrical Distribution or Construction industry preferred, but not required.
    • Experience managing small projects from start to finish.
