Job Description
Reporting to the Director of Human Resources, the HR Coordinator will be responsible for HR functions that support the organization's growth and changing needs. Assists with the day-to-day operations of the HR Department to maintain the quality and responsiveness of the Department. The HR Coordinator is responsible for also managing the secretarial workflow process within the office, including the scheduling of relief and temporary secretaries.
The ideal candidate will be a self-starter, who is just as comfortable working autonomously as well as with a team. This candidate should be corporate culture-focused, bringing enthusiasm to the office and offering up new ideas and programs.
DUTIES AND RESPONSIBILITIES:
- Administers various human resource plans and procedures for all company personnel; assists in the development and implementation of employee handbook and personnel policies and procedures, in conjunction with leadership.
- Coordinates and conducts new-employee orientations.
- Assists with performance management and employee development program.
- Assists with employee relations counseling and exit interviewing.
- Maintains company organization charts and the employee directory.
- Recommends new approaches, policies, and procedures to effect continual improvements of the department and services performed.
- Input new hires into HRIS system as needed.
- Initiates and maintains employee personnel files, employee information forms, job performance evaluations, changes in pay status forms, I-9 forms, and termination checklists for exiting employees.
- Performs backup to benefits administration to include claims resolution, change reporting, approving invoices for payment and communicating benefit information to employees.
- Establishes and maintains orientation program for secretarial support staff. Assigns new staff member mentor and monitors new employees’ progress.
- Conducts three-month reviews of secretarial support staff. Develops and maintains a program for the advancement of professional skills of secretarial staff members.
- Conducts career and educational counseling with secretarial staff members.
- Provides assistance with developing standard job descriptions and position specifications for secretarial support staff; ensures periodic review of job descriptions and position specifications.
- Provides supervision to secretaries, and reserve secretaries.
- Ensures that all positions are staffed on a daily basis and provides for temporary relief as necessary.
- Supervises Legal Secretaries and Reserve team lead to regulates workflow within the office and allocates overflow.
- Coordinates team projects and participates as needed in special department projects.
- Maintains compliance with federal and state regulations concerning employment.
- Coordinate recruitment of non-attorney personnel, including applicant tracking, testing, reference checking, background checks, and scheduling interviews.
- Maintain professional relationships with employment and temporary agencies.
- Responsible for ordering flowers/gifts for employees who are in the hospital, for a death in the employee's immediate family, or for the birth/adoption of a child by an employee.
- Preparation and processing employee termination paperwork; ensures all Firm property is returned to HR.
- Maintains Firm charts and directories.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- Bachelor's degree in Human Resources Management or three to five years experience in the HR Field, or any similar combination of education and experience.
- Prior knowledge of principles and practices of human resources is preferred. Prior experience with an HRIS database preferred. Effective oral and written communication skills, excellent interpersonal skills, and computer literacy.
- Proficiency with Microsoft Office – Outlook, Word, Excel, and PowerPoint (some Social Media).
- Requires the ability to apply knowledge in a fast-paced environment and adapt to change and/or be flexible as business situations arise.
- Ability to be accountable to meet commitments and consistently deliver results within required timelines and expectations
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Positive attitude and exceptional verbal, written, and interpersonal communication skills required to communicate with a diverse group of attorneys, staff and clients and provide information with courtesy and tact while safeguarding confidentiality.
- Maintain confidentiality; remain open to others' idea and exhibit willingness to try new things.
- Ability to work effectively in a team environment. Capable of effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
- Edit work for spelling and grammar, presents numerical data effectively and is able to read and interpret written information.
