    The Commercial Banking Portfolio Administrator works with a team of Commercial Bankers and is responsible for managing and servicing a portfolio of current and prospective customers and providing a high level of routine and complex administrative and sales support to the Commercial Banking team. This position requires working directly with customers and employees to solve problems and provide superior customer service. Acts as a liaison between Clients and Commercial Bankers. 

    Responsibilities: 

    1. Provides a high level of customer service and professionalism to commercial clients through all means of communication (in person, electronic, telephone). Point person for clients regarding bank transactions for loans and deposits. Follow-up with Bankers and Treasury Management departments, as necessary.

       

    2. Provide customer/sales support to Commercial Bankers. This may include contacting clients directly, coordinating and/or opening customer accounts, identifying cross-sales opportunities when applicable and requesting financial information.

       

    3. Coordinate with Treasury Management on the delivery of products and services to new and existing clients. Works closely to gather and collect necessary information (LLC operating agreements, membership listing, certificates of good standing and corporate records) for Treasury Management proposals.

       

    4. Coordinate all aspects of the required loan process including but not limited to gathering data, ordering required services (title insurance, appraisals, searches, certifications), assisting in the preparation of loan closing documents, tracking, and following up on exceptions, and ensuring updated documents are received in a timely manner. Ensures documentation is complete, accurate, consistent and meets regulatory compliance. This may include complex documentation required for loan participations, secondary market programs and SBA lending.

       

    5. Organize and schedule final loan closing with lending officer, client, and title company. Prepares necessary paperwork and tickets for loan funding. Conducts post-closing reviews to ensure all required documents are present. Forward closing packet to operations for booking and scan documents, as necessary.

       

    6. Compiles loan information and organizes financial information for preparation for the credit review and, if needed, in preparation for loan committee and helps coordinate & schedule directors for loan committee meetings. Manage the renewal process by working with the Commercial Banker, client, doc prep, and credit.

       

    7. Works closely with documentation and credit departments to facilitate documentation preparation, underwriting, approval, and loan closings. Acts as liaison to the Credit and other internal departments, as necessary.

    1. Review and coordinate daily approval of overdraft report and deposit activity within designated limits and communicate reports to Commercial Bankers.

       

    2. Works with the Tellers on commercial account transactions.

       

    3. Assist with draw requests, construction disbursements, renewals, exceptions, past dues and provides balance and transaction information to both clients and accountants as needed for financial reporting.

       

    4. Assist lenders and the bank in risk mitigation as it relates to commercial clients. Ability to recognize circumstances (potential fraud, repayment and reputation risk) and use sound judgment to resolve or escalate the situation as needed.

       

    5. Maintain comprehensive and up to date knowledge of banking regulations related to assigned job function. Complete and/or ensure all audit and security policies and procedures are followed in accordance with bank policies and Federal Regulation. Complete required compliance and job specific training. Familiarity and adherence of all Bank Secrecy Act requirements including the ability to identify and properly report fraudulent and suspicious loan activity.

     

    Additional Functions:

     

    1. Attends external client meetings and loan closing as requested by the Commercial Banker.
    2. Knowledge of all bank products and services.
    3. Ability to attend after hours networking events, if available.
    4. Performs other duties as assigned or requested to fulfill the needs of the Bank. 

    Skills Required: 

    Requires a bachelor’s degree or equivalent and three years of commercial loan experience; or a combination of education and experience. Strong business, financial, and loan documentation knowledge; credit and lending policies and standards. Ability to make appropriate judgements and decisions with guidance and deal with complex problems involving multiple facets and variables. Excellent planning, organizational, written, and verbal communication skills. Must possess courteous and professional customer service attitude; technical ability to input and retrieve computerized information; exceptional organizational skills; excellent verbal and written communication skills for interacting professionally with customers and relating to other employees; ability to maintain the integrity of highly confidential customer and Bank information; ability to deal effectively with time pressures, stress and multi-tasking that can change hourly depending on level of customer activity; effective problem solving skills.
