SUMMARY

We are seeking an Office Assistant. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks for example, work diligently under pressure, great organization skills, work independently, efficiently, and proficient in all office equipment. There will be training and support for this role but previous office experience is preferred.

RESPONSIBILITIES:

• Answer inbound telephone calls
• Greet and assist onsite guests
• Enter data into Quickbooks and Access database
• Entering Purchase Orders from customers and creating job folders
• Creating Job Travelers that define the manufacturing process
• Creating purchase orders for outside processing
• Tracking outside processing jobs
• Packaging and shipping jobs to vendors and customers
• Closing jobs and documenting any products for inventory
• Controlling blueprints and certifications in the database
• Assisting the Quality Department with Customer and Vendor surveys
• Compiling job history for future quotes
• Perform all other office tasks as needed

JOB REQUIREMENTS:

IDEAL CANDIDATES WILL HAVE:

• At minimum 1-2 years of Administrative Assistant experience working in an office environment
• Will have experience supporting a team of executives/managers
• Will possess the ability to multi-task and have strong organizational skills
• Good time management skills
• Calendar management skills
• Good organizational skills
• Excellent written and verbal communications skills
• Ability to work well with others in a team oriented environment
• Proficiency with MS Office programs (Word, Excel, Outlook and Power Point)
