  • Responsibilities

    Job Description

    GENERAL DESCRIPTION

    • Schedules and reviews background checks for potential new hires

    • Sends out all new hire paperwork for Tom James Company

    • Enters all on-boarded employees in the H/R site.

    • Processes I-9’s and E-verify forms

    • Assists with Visa and Immigration postings/applications

    • Processes new hire information for Sales Professionals, office support, and home office employees

    • Ensures all personnel files are up-to-date and in accordance with regulatory standards

    • Assists with various employee functions (company parties, meetings, mail-outs, etc.)

    • Performs other related duties, as required or assigned by Sr. Human Resource Manager

    • Process new hire, terminated and transferred sales professionals

    • Coordinate Accounting Dept. new hire onboarding

    • Coordinate all meetings for which HR is responsible

    • Coordinate all events for which HR is responsible

    • Coordinate Annual Performance Review process

    • Administer FMLA program

    • Accounting Office Job Description (Maintain and update)

    • Type letters and reports, do research, compile reports, create files and binders, and other special projects as assigned.

    • Oversee administration and tracking of sexual harassment and discrimination training

    • Oversee unemployment filings through third party vender.

    • Main contact for staffing agencies, negotiate rates and contact for temp and temp-to-hire positions.

    • Coordinate recruiting for Accounting Dept. by gathering applications, phone screening, interviews, background checks, drug testing for Administration Office.

    • Completes mandatory federal and state personnel surveys

    • Various other duties assigned by human resource manager

    REQUIRED KNOWLEDGE, SKILLS & ABILITIES

    • Excellent organizational skills; ability to prioritize; detail-oriented

    • Excellent verbal and written communication skills

    • Ability to train other employees

    • Ability to relate professionally to individuals from various social and economic groups

    • Ability to work independently

    WORK EXPERIENCE / EDUCATION REQUIREMENTS

    • Requires knowledge, skill and mental development equivalent to the completion of four years customer service experience including working directly with customers in a problem solving capacity either face-to-face or telemarketing and/or job applicants.
    • Associates degree preferred

    EQUIPMENT / SOFTWARE USED

    • Strong computer and MS Office skills including Word, Excel, PowerPoint and Outlook
