Zantech is looking for a talented Action Officer to contribute to the success of our upcoming Service Delivery & Resource Allocation Management Support project for an onsite role based out of Arlington, VA.
The Action Officer will play a crucial role in supporting the following:
- Track and coordinate all ACO taskers, drills, and exercises
- Maintain the Office Director, Deputy Director, and ADPM calendars; manage emails, calls, and messages
- Manage office administrative functions including IT coordination, visitor management, and meeting support
- Support DIRO Program Review preparation
- Support preparation and presentation of briefings and reports up to TS/SCI level
The Action Officer is the entry-level coordination specialist responsible for keeping the front office running smoothly on a day-to-day basis. This individual tracks program status, milestones, and action items across multiple stakeholders; maintains senior leadership calendars; and ensures the team is prepared for high-level meetings and program reviews. While the most junior position on the contract, this role is highly visible — the Action Officer's work product is seen directly by the Office Director, Deputy Director, and ADPM on a daily basis.
Designated Impact:
The Action Officer serves as the operational pulse of the front office. Poor performance in this role creates friction across the entire team — missed taskers, calendar conflicts, and late read-aheads have downstream effects on senior government leadership.
Responsibilities include, but will not be limited to:
- Track and coordinate 100% of all ACO taskers, drills, and exercises; maintain 98% accuracy in tracking logs and ensure all submissions meet established deadlines
- Maintain ACO Office Director, Deputy Director, and ADPM calendars; create/accept meeting invitations, coordinate visit requests, and de-conflict scheduling across ACO Government personnel
- Manage ACO email, telephone, and fax communications to effectively coordinate schedules; return all calls and messages within 4 business hours
- Coordinate meeting logistics including read-ahead materials, visitor access clearance coordination, and room setup
- Support preparation of briefings and reports up to TS/SCI level under direction of senior analysts
- Track program status, actions, and milestones and provide regular updates to ensure the team is informed and prepared for high-level engagements
- Support DIRO Program Review preparation logistics
- Assist with IT coordination, visitor escort per DARPA policy, and badge/access management tracking
Required Experience or Knowledge of the following technologies/functions:
- Minimum 2 years, including experience tracking project status, milestones, and actions in a government or professional environment
- Experience tracking action items, milestones, and program status across multiple concurrent priorities
- Proficiency preparing briefings, meeting agendas, and read-ahead packages for senior leadership
- Strong organizational and time-management skills with proven ability to manage calendar de-confliction
- Experience with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) in a professional setting
- Excellent written and verbal communication skills
- Experience supporting government senior executives (GS-15 or SES equivalent) preferred
- Familiarity with DARPA or DoD organizational processes preferred
Required Education/Certifications:
- Education Required
- Bachelor's degree in any field
- Education Preferred
- Bachelor's degree in Business Administration, Communications, Political Science, or a related field
- Preferred Certifications
- DAU program management introductory coursework
Required Security Clearance:
- US Citizenship required
- Must possess and Active US Top Secret (TS); must be eligible for SCI access
